Job DescriptionThe responsibility of a Senior Project Manager is to plan, execute, and finalize each project according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors in order to deliver projects according to plan.Client success is our ultimate metric, and what drives our mindset, skillset, and company culture.While we are a "Virtual First" company, we do require that the candidate reside within the state of Florida as there are times when on-site meetings are needed.ResponsibilitiesReviews new business project SOWs and creates corresponding estimatesAssists in creating AOR/campaign estimatesManages priority project timelines and schedulesFinalizes priority project schedules in WMJParticipates in campaign kickoff meeting with client, presenting budget + timelineManages the consistent successful facilitation of priority projects from estimation through launch and ongoing executionSubmits request for contract labor to VP of Client OpsMaintains and monitors priority project budgets and schedules dailyIdentifies budget reallocations that change fee/media/production mix and notifies Account PrincipalRecommends scope creep solutionsManages all project change ordersProvides change order documentation, including updated schedule + budget revisions, to AMProactively manages and updates priority project schedulesNotifies AM when (if) client deliverables/milestones may not be metDemonstrates basic knowledge of campaign workflowPopulates pricing template for existing client campaigns (if applicable)Reviews priority organic growth project SOWs and creates corresponding estimatesDrafts project templates in WMJ, including architecture, timelines and estimatesParticipates in daily (as possible) stand-up resourcing meetingsMaintains professional internal and external relationships that meet company core valuesReviews new business campaign SOWs and creates corresponding estimatesDevelops campaign timelines for SOWsWorks with Finance + AD to define client architecturesDesigns campaign architecture and estimate structuresDevelops AOR campaign schedules and estimatesDrives creation of media strategies and plansParticipation in Creative Platform kickoff meeting, providing timeline, budget and assignmentsReviews and approves campaign architecture within WMJEnsures project estimates align to campaign scopingReviews and approves campaign estimates in WMJManages campaign timelines + schedulesReviews and approves campaign schedulesWith AS, ensures campaign strategy aligns to campaign scope, estimate + timelineCo-leads internal campaign kickoff meetings, presenting budget, timeline + assignmentsManages all campaigns on-quality (tactical), on-time and on-budgetManages the consistent successful facilitation of campaigns from estimation through launch and ongoing executionManages PO approvals for their clients up to $25,000Resolves vendor addendum form issuesSupports AS in ongoing campaign budget reallocationsManages campaign/project scope creepManages all campaign change ordersProactively manages and updates campaign schedulesWorks with AD and PM to resolve budget or schedule issuesCommunicates with client about campaign execution detailsEnsures SOWs/estimates are approved or secures approval from President before work commencesWorks with RM to identify appropriate resources for campaignsEnsures billing/revenue recognition meeting prep is complete (using Billing Meeting Checklist)Suggests appropriate labor + expense write off amounts and reasonsCompiles campaign details for retrospectivesReviews monthly and quarterly write off reporting for campaigns + projectsReviews campaign + project financial reporting and makes recommendations for improvementDemonstrates basic knowledge of agency AOR workflowMaintains deep understanding of campaign workflowReviews populated pricing template for existing clients (if applicable)Reviews organic growth campaign SOWs and creates corresponding estimatesDrafts revenue forecast for booked business and delivers to ASPerforms day-to-day coaching and oversight of direct reportsPerforms 1:1s with direct reportsCo-leads performance appraisal process for direct reports with PD or VP Client OpsCompletes timesheet dailyApproves assigned Project Management team members' timesheetsMaintains professional internal and external relationships that meet company core valuesParticipates in internal revenue forecasting including weekly, monthly and quarterly and yearly outlooksCreates and maintains their revenue forecasting documentReviews their client budget reconciliation documentsSupports BPD Process ImprovementReviews the billing proceduresActs as BPD’s in-house producer for photoshoots and video shootsAny other duties/responsibilities will be addressed as they arise and are neededRequirements5-7 years experience in Project ManagementAd Agency experience a plusStrong written and oral communicationStrong interpersonal skillsStrong organizational skillsPrevious experience in Workamajig project
