SummaryThe Executive Assistant must excel at communication, organization, process and strategy. This position leads the project management and administrative processes for all initiatives within the Marketing department. The ideal candidate will be able to multi-task, anticipate issues, make key decisions independently and manage the needs of various stakeholders.The budgeted salary range for this position is $62,877 - $88,027. Actual pay will be dependent on budget and experience; all our salaried roles are eligible for bonus.This position will be based in person at one of our office locations in Aspen, CO, Denver, CO, or New York, NY.Job Posting DeadlineApplications for this position will be accepted until September 30, 2024.Essential Job FunctionsSupport leaders with project management and administrative tasksSupport project management across the marketing department and potential other departments as needed, while ensuring brand alignment with company goals and strategyWorks independently and within teams on one-time and ongoing projectsAttend various meetings and records, distributes and archives meeting notes; responsible for follow-up, attainment of results and task deadlinesProject manage the lifecycle of brand projects while liaising with brand agencies, vendors and other departmentsLead and coordinate departmental onboarding and training for new hiresOversee quality, quantity and impact of internal and external assetsAssist with coordination and organization of company-wide training, events or presentationsSchedule and organize department trainings, meetings, group outings and team building eventsWork with department leaders to facilitate team communications, initiatives, and processesAct as main point of contact between multiple departments to ensure budget processes are followed, issues are identified and resolved and spending is trackedMain point of administrative contact for independent contractors and vendorsPrepare correspondence, reports, presentations, and other documents to report out to stakeholdersMake decisions and requests for information on behalf of the executive while maintaining confidentiality and communicating with discretionProvide extensive calendar management, scheduling, and travel planningOther duties as assignedQualifications

College Degree preferred5 years of administration and/or project management experience at the executive levelStrong business acumen with well-developed analytical and problem-solving skillsProficiency in Microsoft 365Strong project and operational management skills including budget management, event management, calendaring and understanding of the business to help the decision-making processHighly developed self-awareness and leadership skillsAdditional Information

Supervision Given and ReceivedSupervision Given: This position has no supervisory responsibilities.Supervision received: Works under general supervision of the Chief Brand Officer. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed.
