SummaryThe Executive Assistant must excel at communication, organization, process and strategy. This position leads the project management and administrative processes for all initiatives within the Marketing department. The ideal candidate will be able to multi-task, anticipate issues, make key decisions independently and manage the needs of various stakeholders.The budgeted salary range for this position is $62,877 - $88,027. Actual pay will be dependent on budget and experience; all our salaried roles are eligible for bonus.This position will be based in person at one of our office locations in Aspen, CO, Denver, CO, or New York, NY.Job Posting DeadlineApplications for this position will be accepted until September 30, 2024.Essential Job FunctionsSupport leaders with project management and administrative tasks

Support project management across the marketing department and potential other departments as needed, while ensuring brand alignment with company goals and strategy

Works independently and within teams on one-time and ongoing projects

Attend various meetings and records, distributes and archives meeting notes; responsible for follow-up, attainment of results and task deadlines

Project manage the lifecycle of brand projects while liaising with brand agencies, vendors and other departments

Lead and coordinate departmental onboarding and training for new hires

Oversee quality, quantity and impact of internal and external assets

Assist with coordination and organization of company-wide training, events or presentations

Schedule and organize department trainings, meetings, group outings and team building events

Work with department leaders to facilitate team communications, initiatives, and processes

Act as main point of contact between multiple departments to ensure budget processes are followed, issues are identified and resolved and spending is tracked

Main point of administrative contact for independent contractors and vendors

Prepare correspondence, reports, presentations, and other documents to report out to stakeholders

Make decisions and requests for information on behalf of the executive while maintaining confidentiality and communicating with discretion

Provide extensive calendar management, scheduling, and travel planning

Other duties as assigned

QualificationsCollege Degree preferred

5 years of administration and/or project management experience at the executive level

Strong business acumen with well-developed analytical and problem-solving skills

Proficiency in Microsoft 365

Strong project and operational management skills including budget management, event management, calendaring and understanding of the business to help the decision-making process

Highly developed self-awareness and leadership skills

Additional InformationSupervision Given and ReceivedSupervision Given: This position has no supervisory responsibilities.Supervision received: Works under general supervision of the Chief Brand Officer. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.Work Environment and Physical DemandsAbility to be on your feet, kneel and bend for extended periods of time

Regularly work in adverse conditions and requiring the use of protective apparel/equipment to prevent exposure to the elements as well as an office environment and may be required to walk on slippery and uneven surfaces

Must be able to lift, push or pull up to 50 lbs. individually or with assistance
