Reports to: Head of School Primary Work Location: Cedarwood Waldorf School, 3030 SW 2nd Ave, Portland, OR 97201. Job Description: The Development Coordinator supports financial sustainability through community engagement; building and sustaining relationships with current and alumni families, donors, and institutions; and developing and implementing a philanthropic plan to meet budgeted fundraising goals. Duties and Responsibilities Implements and executes an annual fundraising plan to meet fundraising goals. Evaluates current philanthropic approach and adjusts approach as needed to meet desired fundraising goal and shifting demographics of potential donors. Cultivates and manages relationships with Cedarwood’s financial partners, including donors, volunteers, contractors, and vendors. Creates warm and generous relationships with employees, enrolled families, alumni and alumni families, donors, and the general public. Submits monthly progress reporting metrics for Head of School to submit to the Board of Trustees Completes financial reporting consistent with US General Accounting and Standards Board and Internal Revenue Service requirements (annual 990 reporting and non-profit financial auditing), including documentation of in-kind donations of goods and services. Maintains complete records and documentation of monetary donations and provides monthly reporting to support financial reconciliation. Develops proposed fundraising budget and implements within approved budget. Provides timely payment of invoices and distribution of donation letters. Researches and establishes a planned giving program. Coordinates with Grades Teachers, Marketing Director, and Enrollment Director and other administrative staff to establish relationships with and maintain contact information for alumni and alumni families. Maintains list of companies that provide matching employee donations. Participates in the Board of Trustees Development Committee. Creates, manages, and implements on-campus opportunities to create community (family engagement) Weekly Coffee in the Courtyard opportunities At least three adult-only gatherings geared towards distinct enrolled demographics (EC, Lower Grades, Middle School) At least one opportunity for alumni students and families to return to Cedarwood Manages solicitation around and updates to the Cedarwood Business Directory Plans, manages, and implements the Annual Appeal, Grandparents and Special Friends Day, and Annual Auction as scheduled, including: Planning and communicating theme and kickoff activities Planning and communicating employee, classroom, and student participation and volunteer opportunities Managing volunteers and vendors to complete event goals Completing thank you notes within 30 days of received donations. Working with Classroom Parent Representatives and Classroom teachers to develop and implement class projects for auction. Works with Parent Council, Grades Class Teachers, and Classroom Parent Representatives to implement class fundraisers consistent with school approach and adopted expectations. Completes draft Annual Report within one month of completion of Financial Audit and final within an additional 30 days. Creates newsletter items for publishing in the Weekly and Monthly Newsletter related to major fundraising events that meet school standards and brand expectations. Makes timely requests to the Marketing and Communications Director to update emails, tags, and audiences in MailChimp. Works closely with the Marketing and Communications Coordinator, Director of Enrollment Management and Tuition Assistance, and Event Coordinator to review and implement communications plans, website updates, and merchandise. Represents Cedarwood at festivals, events, and outreach opportunities. Adheres to school policy and procedures outlined in the Employee Handbook, including requirements related to working at a school, such as being a mandatory reporter, and participating in emergency drills and safety training (first aid/CPR). Implements discretion and confidentiality as relates to financial disclosures and donor information. Required and Preferred Skills, Abilities, and Qualifications Bachelor’s degree in business, communications, non-profit or school administration and/or a related field is required; an equivalent amount of relevant experience or training can be substituted for a bachelor’s degree. A minimum of three years of professional experience in philanthropy, fundraising, grant writing, coordinating with capital campaigns, and donor management is required; experience in non-profits, education, or Waldorf education in particular is preferred. Basic understanding of Waldorf education is required to perform this role, but this can be acquired with an open-minded curiosity and enthusiastic dedication to learning.A willingness to promote, understand, and embrace Waldorf education and Cedarwood Waldorf School is required. Ability to pass a background check through Oregon’s Central Background Registry is required, in addition to criminal and sexual misconduct background checks through the Oregon Department of Education. Experience with standard office equipment and software is required (Google suite and Squarespace); experience with volunteer and donation software such as DonorBox or OneCause is preferred. Professional development funding or paid time is available to learn new software systems, but candidates should have experience in efficiently using software (including spreadsheets and databases) and have an interest in cultivating their technical skills in online fundraising and internet research. Ability to communicate warmly and effectively in writing and in person is required.Ability to identify the appropriate communication style for specific audiences is preferred. Support of the school’s efforts around diversity, equity, inclusion, and justice is required. An ideal candidate has the ability to think creatively and strategically about how to meet the current year’s fundraising goals (short term goals) and how to meet the long term goals of the strategic plan. This candidate has strong organizational and time management skills, is able to work independently with self-motivation and initiative, has excellent interpersonal skills, and has a commitment to advancing diversity, equity, inclusion and justice within the organization and as part of the position. Hours and Schedule: Full-time, year-round, exempt position with some evenings and weekends related to supporting festivals, events, and outreach events.Minimum availability is typically between 8:30am and 4pm. Some regular or flexible remote work may be possible, but a majority of the time is expected to be spent on location. Physical Requirements:This job operates in a professional open-floor office environment with a moderate level of noise associated with personal conversations and office machinery. The employee must be able to see, hear and talk and have the physical ability to move around, lift objects up to 40 pounds, and use standard office equipment such as computers, phones, photocopiers and filing cabinets. Must be able to use stairs in order to retrieve and return materials to storage locations. Will be responsible for transporting outreach materials to events, including setup and breakdown of materials, tables, and chairs. Must be able to participate in event and festival setup and breakdown, including tables, chairs, and other materials.
