Job SummaryThe Program Manager of Space, Facilities & Research Initiatives plays a critical role in the Department of Medicine (DOM) by providing analytical and operational support to the central administration team. This position is essential for the effective planning, management, and administration of departmental initiatives. The incumbent is tasked with using advanced operational knowledge to address and solve complex issues related to facilities, space management, and department-wide research initiatives.

The incumbent serves as a departmental point person, alongside the Director of Operations & Strategic Initiatives, addressing divisional space requirements and modifications. The DOM faces significant challenges in managing the allocation, usage, and overhaul of spaces, particularly at its Parnassus and Mission Bay campuses. There is a steady requirement for managing space and renovations for existing faculty, and there are additional requirements when there are substantial changes in the allocation or use of space, such as in the hiring of new faculty, consolidation of programs, seismic upgrades, or other initiatives. Reporting directly to the DOM Associate Chair for Administration, the incumbent works closely with the Director of Research Administration and the Associate Chairs for Clinical Research and Biomedical Research to develop both short- and long-term plans for optimal space utilization across the DOM. This includes developing metrics to assess the efficiency of space use by divisions and individual faculty members at various campuses, covering both academic and research spaces. In addition, the incumbent will coordinate necessary renovations and other alterations of DOM space. The incumbent must acquire a comprehensive understanding of space at the Parnassus campus, of the policies that affect space utilization, and of the systems used to monitor and manage the use of space. The incumbent will prepare detailed analytical reports and strategic recommendations for executive management. The incumbent plays an important role in the ongoing development of a dynamic record of space utilization needs in the DOM and at UCSF overall.

The incumbent assists and advocates for DOM faculty and staff in their management of high-level IT solutions, with an emphasis on promoting collaboration across the department. As the DOM's faculty and staff work across many sites, there is a great need for reliable, cost-effective collaboration tools (e.g., audio/videoconferencing setups). The incumbent will work with departmental and divisional leadership to ensure that their needs in this area are addressed, devising creative solutions, managing project deliverables and budgets, and writing proposals as necessary. The incumbent will also serve as a departmental liaison to campus-wide IT strategic initiatives.

In addition to managing and coordinating the space and IT requirements of the DOM, the incumbent provides support to the Associate Chair for Administration and the Associate Chairs for Clinical Research and Biomedical Research on various strategic initiatives. These include integrating the DOM's rapidly expanding informatics enterprise with the department's research operations. The Program Manager is part of the DOM's Research Council, which is tasked with recommending policies on a wide array of research-related issues. The incumbent is responsible for managing the scope, budget, and schedule of these strategic projects to ensure they meet the organization's objectives and deliver the intended benefits.

The incumbent must work creatively and independently and must be able to manage multiple projects with conflicting deadlines concurrently. This position requires a high degree of self-motivation and excellence in both verbal and written communication.

Salary and BenefitsThe final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $101,600 - $157,500 (Annual Rate).

Department DescriptionThe Department of Medicine (DOM) is the largest department in the School of Medicine (SOM) at UCSF. The DOM has an annual budget of $484M across three sites with over 2,000 employees. The DOM comprises 22% of all UCSF faculty, 26% of the SOM's faculty, and 20% of the SOM budget. Required Qualifications

Bachelor's degree in related area and five or more years of relevant experience and/or equivalent experience/training.

A demonstrated understanding of academic medicine and scientific research.

Thorough knowledge of organizational or initiative processes, protocols, and procedures.

Advanced project management skills.

Advanced skills in short- and long-term strategic planning, analysis, problem-solving, and customer service.

Ability to use discretion and maintain confidentiality.

Advanced knowledge of common University-specific computer application programs.

Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.

Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.

Advanced knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting and fund management, and/or personnel management.

Preferred Qualifications

Previous experience in facilities management in a healthcare, research, or academic environment.

Previous experience in coordinating and supervising complex, large-scale moves.
