We aim to welcome students, staff and faculty from diverse backgrounds and support them so they may thrive at Medill.Job Summary:The Senior Program Coordinator provides support for the Medill Washington D.C. location and its operations. This position coordinates the logistical and administrative processes and prioritizes, manages, and responds to business matters involving functions associated with education, research, and/or operations. This role also supports any Medill events in D.C. including the planning, development, and day-of logistical needs.This position will be on-site at the Medill Washington D.C. location for a minimum of four days per week when classes are in session, while the remaining time is allowed to be worked remotely. This remote working arrangement will be evaluated on a regular basis and may be changed based on business and operational needs.Please note: The target budgeted salary for this position is $64,000 - $71,000 annually. Offers will be based on candidate experience and education, as well as equity within Northwestern University.Specific Responsibilities:AdministrationOversees & ensures that day-to-day operations are appropriately managed, efficient and effective.Develops, maintains & reports on quantitative and qualitative performance measures.Acts as liaison to IT to ensure technology systems are properly installed & maintained & meet the informational, analytical & computing needs of users.Issues work order requests for maintenance, repairs & upgrades.Coordinates logistics ensuring the D.C. location's upkeep is held to a high standard.Manages the A/V equipment inventory and student checkout/return processes.Budgets & FinancialCreates & oversees finances, budget, associated analysis & reports.Processes and manages payment and reimbursement for faculty and students based at Medill D.C.Communication, Outreach & RecruitmentStrengthens partnerships with external resources by defining, promoting and marketing benefits of participation and involvement to the organization.Creates and nurtures relationships with organizations to develop a network of enthusiastic organizations engaged via active participation in the success of program/project.Collaborates with colleagues across the school to help advance Medill's strategic goals and improve the educational experience of our students.EvaluationManages development and maintenance of evaluation processes including associated metrics and key performance indicators.Reviews & analyzes outcome measurements and recommends changes & enhancements to improve program/project.Collaborates with internal/external partners to implement changes designed to improve/increase program/project goals/objectives.EventsManages programming, educational, student, alumni, workshops, meetings, etc. including speakers, agendas, etc.Manages planning and arrangement of meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.Manages event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.Program DevelopmentResearches competitor, and state-of-the art developments to enhance, improve, and innovate program curricula and delivery to better meet goals & objectives.Coordinates with program/project sponsors on the delivery of all onsite instruction and provision of logistical support.Oversee development and implementation of new program/project initiatives.Manages relationships with partners, foundations, etc. and coordinates logistical support.Continually assesses and innovates program/project to achieve educational goals.Regulatory ComplianceManages development & implementation of processes & procedures for all safety, security & compliance programs.Manages compliance with all applicable federal, state, local & NU laws, regulations, policies & procedures.Develops the creation &/or implementation of associated training.Interfaces with necessary accreditation bodies and prepares required documentation.Strategic PlanningManages & implements strategic plans.Reviews plans, meets with leadership & key faculty & staff.Provides advice & counsel & recommends changes & improvements to functional operations to better meet organizational needs & objectives.Student SupportImplements a department strategy for structure, process, & staff support of students.Organizes and implements new student activities.Coordinates student applications to various Medill D.C. programs.MiscellaneousPerforms other duties as assigned.Minimum Qualifications:Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.2 years program/project administration or other relevant experience.Preferred Qualifications:Experience planning and managing events.Preferred Competencies:A positive attitude with a focus on customer service and collaboration.A self-starter with the ability to multitask.Advanced technical skills working with IT and A/V hardware.Graphic design experience is preferred.
