Executive Assistant

to provide administrative and clerical support to an executive within the company. This position requires a thorough working knowledge of HJF's operations and policies and procedures.This position will be in support of the Defense Infectious Diseases Directorate (DIDD) at the Naval Medical Research Command in Silver Spring, MD and supports both the Director & Deputy Director of DIDD.The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

Responsibilities

Receives incoming telephone calls and personal callers. This involves determining if a call can be referred elsewhere and obtaining required background information if necessary.Maintains a calendar of appointments and schedules appointments and conferences without prior clearance based on knowledge of supervisor's schedules and previous commitments.Makes necessary arrangements for conferences and meetings. Collects and prepares material for supervisor's use for meetings. Makes all necessary travel arrangements.Reviews and replies to incoming correspondence. Drafts reply letters to inquiries.Receives, screens, and distributes incoming mail and reviews and prepares outgoing correspondence.Handles detailed matters which are highly confidential and critical.Makes high level contacts of a complex nature both inside and outside HJF.Lead & submit the Military muster on a daily basis.Lead as the Head Admin and assistant in the PMO.May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Qualifications

Education and ExperienceAssociates Degree in Business or related field is required.Minimum of 9-10 years experience is required.Required Knowledge, Skills and AbilitiesKnowledge of the duties, priorities, commitments, policies and program goals of HJF and the supervisor.Knowledge of DoD & Navy policies and procedures is preferred.Excellent word processing skills and computer skills.Ability to anticipate needs, take initiative and follow through.Ability to obtain and maintain a T1/Public Trust background check.Physical CapabilitiesLifting: Requires lifting materials up to 10 lbs.Ability to stand or sit at a computer for prolonged periods.Work EnvironmentThis position will take place primarily in an office setting.Some HJF employees are required to be fully vaccinated against COVID-19.
