Under the supervision of the Administrative Manager, the Administrative Specialist II will meet, interview, and direct public health clients with services in accordance with the Women, infants, and Children (WIC), Preventive Health (PH), Maternal Children Health (MCH), and Immunization (IZ) programs providing quality customer service, utilizing the agency's policies and procedures while maintaining confidentiality.

Clinical Duties:

-Meet, interview, and direct public health services to clients in accordance with the WIC, PH, MCH and IZ programs to educate client on program standards.

-Answer telephone calls to assist with the scheduling of appointments; entering all client information in the SCWIC and Electronic Health Records (EHR) as needed for current and new clients; process information, complete medical records, and enter all client information into SCWIC, EHR, and/or Private Pay as mandated.

-Complete data collection and entry into SCWIC to validate, and issues food instruments (FI) and Farmer's Market checks.

-Position may require periodic standing and lifting up to thirty (30) pounds.

Training and Reporting:

- Attend relevant program and agency training and meetings. Ensure necessary materials are properly utilized.

-Prepare and submit any required reports to review all the needs of clients.-Annual Civil Rights and Customer Service Training

In accordance with the State's Disaster Plan, which includes hazardous weather, DPH employees may be required to work in times of an emergency or disaster.

Minimum and Additional Requirements

State Minimum Requirements:

A high school diploma. Related clerical experience may be substituted for a high school diploma.

Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.Applicants indicating college credit or degree(s) on the application may upload an unofficial copy of the transcript as an attachment to the application. Agency Additional Requirements:

High School diploma or GED and two (2) years of medical office and clinical clerical office experience which includes public contact or an Associates' Degree in Secretarial Science or a related field and one (1) year of medical office and clinical clerical office experience which includes public contact; must have advanced computer skills and office equipment knowledge.

Preferred Qualifications

Bilingual in Spanish/English; one (1) year of experience with electronic health and medical records.Additional Comments

Driving Record:

If this position requires the applicant to possess a valid driver's license to operate a state vehicle or personal vehicle, any applicant being considered in the final stages of selection for the position will be required to provide a certified copy of a ten (10)-year driving record.
