Job Description

Job Responsibilities:

To support the day-to-day activities of the hotel’s Diplomatic and Entertainment sales efforts and provide immediate support to their designated Directors and/or Sales ManagersResponsibilities to include some and/or all the following:Assistance in making VIP reservationsEnsure all reservations changes, room and rate inquiries are properly handled and followed up onChecking and blocking of space in salesforceAssist in evaluation of business including profitability calculationsPreparation and follow up on contractsFollow up on Deposits + PaymentPreparation of Resumes and/or BEO’sAssist with group turnovers, rooming lists, proformas and key packets as needed

Other Office ResponsibilitiesProactively manage showroom and gift bag preparation for site inspectionsProactively manage shipping of collateral and gifts for sales tripsOrganize f b orders and appropriate payment for all outside sales calls with food deliveryEffectively manage daily calendar appointments to assist Sales Directors and/or Managers in site inspections, entertainment, and other sales functionsPrepare and process expense reportsProcess individual commission requests for group and/or individual bookingsDraft and execute sales collateral and client / prospect presentations via Microsoft Word, Excel, and PowerPointOrganize, print and deliver VIP welcome notesThorough working knowledge of Opera: to include search for specific future or past reservations, preparation of daily arrivals report, add profile information as needed, knowledge of special codes and amenities, access, analyze and print folios for past guests, check rate offerings for specific rate codes, and other Opera functions as they become necessaryThorough working knowledge of Salesforce to include creating/updating accounts or contacts within an account, create new group bookings, revise existing group bookings, merge group contracts and adjust clauses as necessary, create GRC reports as requestedAnswer phones and take correct messages in a businesslike mannerQualify new account/booking requestsAnswer telephones for other individuals within department during their absence from the officeLiaise with other hotel departments in a professional mannerwork closely with operations teams to ensure client’s needs are metOther administrative tasks as requested

Job Qualifications:

College Degree or equivalent experienceAbility to read, write and speak English, using excellent grammar and communication skillsFluency in other languages besides English is a plusPleasant and professional demeanorAbility to effectively communicate with guests and staff in a friendly and positive mannerProficient in Microsoft Word, Excel and PowerPointAbility to multitask and to be proactiveAttention to detail is a mustPrior luxury hotel experience in a hotel sales office is a strong plusHourly Rate: $32.99
