UCSF is looking for a highly organized, diplomatic, responsive and customer-focused Meeting & Event Coordinator for a temporary assignment lasting 5 months. The purpose of this position is to lead event coordination efforts and provide general administrative support for the Office of Community & Government Relations and their departmental units located at UCSF's Mission Bay campus. The position reports to the Acting Associate Director of Community Relations, and is a member of a shared services central operations team.Duties include, but are not limited to, the following:Coordinating events in San Francisco and in the East Bay, including events in support of Chancellor priorities (which may include participation by senior staff up to and including the Chancellor).Participating in major UCSF and UCSF-sponsored events, including community meetings and events on and off campus, Mission Bay campus events, tours for local, state and federal elected officials, congressional staff tours, City Hall reception for the Chancellor or other UCSF senior leaders, and various other events.Coordinating, scheduling, and performing follow-through for various meetings that involve the campus and/or community, staffing these meetings as needed.Coordinating and scheduling internal meetings with UCSF units, serving as staff for these meetings on an as-needed basis and taking responsibility for all meeting logistics including travel, security, room reservations, catering, notification, room set-up, signage, electronic/peripheral needs, etc.Monitoring resource email accounts and responding to requests.Handling travel arrangements.Tracking budget and expenses for projects and events.Processing community requests for UCSF conference center subsidies.Processing expenses using UCSF's various financial administrative systems, including MyExpense and BearBuy.The final salary and offer components are subject to additional approvals based on UC policy.To see the salary range for this position (we recommend that you make a note of the job code and use that to look up): TCS Non-Academic Titles Search (https://tcs.ucop.edu/non-academic-titles)Please note: An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.To learn more about the benefits of working at UCSF, including total compensation, please visit: https://ucnet.universityofcalifornia.edu/compensation-and-benefits/index.htmlDepartment DescriptionUCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.Required QualificationsInterpersonal skills including verbal and written communication with all levels of staff, active listening, critical thinking, persuasiveness, advising and counseling skills.Solid knowledge of common University-specific computer application programs, including Microsoft Office (Word, Outlook, Excel, PowerPoint).Ability to use discretion and maintain confidentiality.Strong skills in short-term planning, analysis, problem-solving, and customer service.Ability to use sound judgment in responding to issues and concerns, anticipating consequences of decisions and actions, being proactive and showing initiative.Solid organizational skills, attention to detail, and ability to multi-task with demanding timeframes.Ability to work in sensitive environments with a lot of public contact.Ability to work independently and as part of a team.Bachelor's degree in related area and 3-5 years relevant experience and/or equivalent experience/training.Preferred QualificationsThorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.Knowledge of a variety of administrative operational activities such as event planning, accounting, and contracts regulations and guidelines.Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff employees.About UCSFThe University of California, San Francisco (UCSF) is a leading university dedicated to promoting health worldwide through advanced biomedical research, graduate-level education in the life sciences and health professions, and excellence in patient care.
