Position Summary:

The Payroll Manager is responsible for administering and managing the Payroll Department. The incumbent independently performs a variety of Payroll disciplines and ensures all employees are paid accurately and timely. The duties include, but are not limited to: pay employees by calculating pay and deductions; issuing checks; assisting with maintaining payroll accounting system and ensuring that proper accounting, payment, and recording of payroll-related issues are conducted.

Essential Job Functions:

Responsible for processing all payroll entries; new hires, W4 changes, direct deposit, wage and hour info, salary changes, voluntary deductions, payroll garnishments, 401(k), Paid Time Off (PTO), leave of absences and terminations.

Responsible for payroll uploads (imports) of bonus/Commission information into payroll system.

Compiles payroll data from employee time sheets in a job cost allocation accounting system (Sage 300/CRE).

Prepares and issues paychecks/electronic payment notifications to all employees and ensures direct deposits are processed.

Audits timecards and imports pay period hours into the Payroll system; prepares and/or extracts data from payroll system to generate reports needed by the management.

Coordinates with HR to ensure data used in calculating payroll includes hours worked collected by field personnel and federal taxes, state taxes, insurance, 401K contributions, etc.

Reconciles errors and posts payroll.

Reviews wages computed and corrects errors to ensure accuracy of payroll.

Reviews and updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department transfers.

Ensures required local, state, and federal reporting requirements are filed and paid on a timely basis in accordance with the respective reporting requirements.

Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.

Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments.

Supports the Corporate Controller and Management Team with annual audit preparation; workers comp, 401(k) and other financial issues.

Handles employee payroll-related inquiries either written, phone or in person with professionalism, courteousness, and confidentiality.

Resolves payroll discrepancies by collecting and analyzing information.

Provides payroll information by answering questions and requests.

Maintains payroll operations by following policies and procedures; reporting needed changes.

Maintains employee’s payroll files including maintaining employee confidence and protecting payroll operations by keeping information confidential.

Contributes to team effort by accomplishing related tasks as needed.

Coordinates with the Corporate Controller and Management Team on projects relating to automation and streamlining process and procedures for Payroll; continues to look for solutions and increase standards.

Strong commitment to continuous improvement of company’s efficiency, productivity, and growth.

Other projects designated by the Corporate Controller or Management Team as the company’s needs change and evolve.

Identifies and reports any potential payroll issues to the management team.

Recruits, trains, and supervises all staff necessary for the payroll department.

Other duties as assigned.

Required Minimum Qualifications:

Education: High School diploma or equivalent.

Work Experience:

Four (4) years advanced Corporate Payroll experience (at least 250+ employees).

Experience with Sage 300 preferred.

License/Certifications: Certified Payroll Professional (CPP) preferred.

Knowledge, Skills & Abilities Required:

Knowledge and experience with multi-tax jurisdictions.

Knowledge and experience with all federal, state, and other regulatory agencies laws for payroll-related compliance.

Experience with multi-state payroll.

Good analytical and problem-solving skills.

Attention to detail a must.

Excellent time management skills to ensure all deadlines are met.

Excellent oral and written communications skills; flexibility and openness to change.

Proficient in MS Excel.

Working knowledge of manual and automated accounting systems, preferably in a job cost environment.

Can analyze information, has data entry skills with attention to detail, confidentiality, thoroughness, general math skills, verbal communication and effective organization skills.

High energy level, comfortable performing multifaceted projects, in conjunction with normal activities.

Works well with diverse personalities.

Uses office equipment such as a computer, calculator, copy machines, and fax machines.

Works in a fast-paced environment.
