Duties & Responsibilities Massey Comprehensive Cancer Center Mission:
“To improve the lives of all Virginians by delivering cutting-edge cancer care through patient-centered prevention and treatment; high-impact, innovative research; community input and engagement; and education and training of the next generation of researchers and healthcare professionals.”
The Executive Director of Operations at the Massey Comprehensive Cancer Center will serve as the second-in-command to the
Chief Administrative Officer (CAO).
This pivotal role will oversee and ensure the smooth operation of various administrative functions, including human resources, staff and faculty recruiting, onboarding, finances, systems development and data analytics, IT, AV, space planning, and facilities management. The Executive Director will oversee the directors of various departments and play a critical role in advancing the Center's mission and goals. Additionally, this role will be expected to work closely with the directors of each unit on overall culture, efficiency, and cost savings apart from overseeing these daily operations.
Key Responsibilities:
Oversee all HR functions, including recruitment, hiring, onboarding, training, and employee relations.
Collaborate with the HR Director to develop and implement HR policies and procedures in alignment with the Center's strategic goals.
Work with the HR Director on fostering a culture that supports the Center’s core values.
Oversee all faculty recruitment and onboarding functions, including hiring, onboarding, visits, and packages.
Collaborate with the Director of Faculty Recruitment, department heads, and the Director of Finance on developing competitive offer letters, start-up packages, and MOUs.
Develop a seamless onboarding process to integrate new faculty hires effectively into the Center.
Oversee all financial operations including budget preparation, strategic planning, reconciliations, purchasing, and reporting.
Work with the Director of Budget in the development and management of the annual budget.
Monitor and report on financial performance, ensuring fiscal responsibility and alignment with strategic priorities.
Oversee the development and implementation of systems to enhance operational efficiency across all units within the Center.
Utilize data analytics to inform decision-making and improve organizational performance.
Oversee all IT functions including purchasing, inventory, telecom, and copy machine management.
Work with the Director of IT to ensure the effective operation of IT and AV systems.
Maintain and upgrade technology infrastructure as needed.
Implement and manage the inventory system.
Manage space planning and allocation to meet the needs of the Center.
Oversee facilities operations to ensure a safe, efficient, and supportive environment.
Develop and execute plans for research space and build-outs, including vivarium space, in collaboration with the Director of Space Planning and Operations.
Work closely with the DEI office to promote a diverse, equitable, and inclusive workplace.
Implement initiatives that support the Center's commitment to DEI.
Collaborate with the marketing, communications, and PR teams to enhance the Center's visibility and reputation.
Support strategic communication efforts to effectively promote the Center's mission and achievements.
Assist with the submission of the CCSG as needed. This includes providing data, reviewing sections of the application and preparing presentations.
Work closely with the directors of each unit to foster a positive organizational culture.
Identify and implement strategies to enhance operational efficiency and achieve cost savings.
Monitor and evaluate processes to ensure continuous improvement and alignment with the Center's goals.
Develop standard operating procedures (SOPs), policies, and guidelines.
Qualifications Minimum Qualifications:
Bachelor’s degree in Business Administration, Healthcare Administration, or a related field (Master’s degree preferred).
Minimum of 7-10 years of progressive leadership experience in operations management, preferably within an NCI designated cancer center or academic setting.
Strong knowledge of HR practices, financial management, IT systems, and facilities management.
Demonstrated experience in staff and faculty recruitment and onboarding.
Excellent interpersonal, communication, and leadership skills.
Proven ability to work collaboratively with diverse teams and stakeholders.
Commitment to promoting diversity, equity, and inclusion within the organization.
Skills and Competencies:
Strategic thinking and problem-solving abilities.
Strong organizational and project management skills.
Proficiency in data analytics and systems development.
Ability to handle multiple priorities and work under pressure.
High level of integrity and professional ethics.
Preferred Qualifications:
Experience working in a NCI-designated Cancer Center.
