Position Summary

The Senior Director of Executive Operations will function as the Chief of Staff for the Massey Comprehensive Cancer Center, directly supporting the Cancer Center Director and Sr. Leaders. This role oversees a team of directors responsible for executive operations, communications, and scheduling, ensuring seamless operational support across all executive functions. The Senior Director will provide strategic guidance and lead the development of processes to drive operational excellence, enhancing the center's capacity to fulfill its mission of advancing cancer research, treatment, and community outreach.

The ideal candidate will possess extensive experience in executive administration, leadership, and process improvement, with a keen understanding of the complexities involved in healthcare or cancer center management. They must demonstrate an ability to work collaboratively across departments and engage diverse internal and external stakeholders to align strategic initiatives with Massey's long-term objectives. This position requires occasional travel (up to 25%) and the ability to work evenings and weekends as needed.

Key Responsibilities

Strategic Leadership and Oversight Act as the Chief of Staff for the Cancer Center, providing day-to-day support and strategic counsel to the Cancer Center Director and Sr. Leadership. Oversee and manage the operations of the Executive Operations team, ensuring efficient execution of objectives and alignment with the center's goals. Serve as a key advisor to the Cancer Center Director, facilitating informed decision-making and supporting strategic initiatives. Lead weekly alignment meetings with the directors of Executive Operations, Executive Scheduling, and Executive Communications to ensure consistency in priorities and resource allocation. Participate in and manage the recurring meetings for Director's Leadership Cabinet, setting agendas and ensures action items are addressed in a timely matter. Provide Chief Administrative Officer (CAO) regular updates on the development and progress of the Executive Operations team. Executive Operations Management

Supervise the Director of Executive Operations, ensuring the effective management of administrative functions, financial oversight, and policy development for operational efficiency. Collaborate with directors on operational planning, budget management, process improvement, and resource optimization to meet strategic objectives. Oversee high-level project management initiatives, acting as a central liaison for internal departments and external partners to coordinate and streamline operations. Communications Strategy and Brand Management

Oversee the Director of Executive Communications to develop and implement comprehensive communication strategies that elevate Massey's visibility and align with institutional priorities. Support the Cancer Center Director's public image through media engagement, reputation management, and crisis communication protocols. Collaborate on content strategy, digital media management, and public relations to promote the center's achievements and enhance community outreach and engagement. Scheduling and Calendar Management

Direct the Director of Scheduling in managing the complex scheduling needs of the Cancer Center Director and Sr. Leaders, ensuring alignment with strategic priorities and efficient use of time. Oversee the development of scheduling strategies that balance immediate demands with long-term commitments, optimizing the Cancer Center Director and Sr. Leaders' availability for impactful engagements. Coordinate with scheduling staff to handle travel arrangements, committee activities, and critical event logistics, ensuring optimal resource allocation. Stakeholder Engagement and Partnership Development

Build and maintain relationships with internal and external stakeholders, including healthcare professionals, community organizations, and advisory board members, fostering partnerships that support Massey's mission. Represent the Cancer Center Director's office as a primary liaison with various committees, councils, and partner organizations, enhancing collaboration and alignment of strategic initiatives. Lead community outreach efforts in collaboration with the Director of Executive Communications to enhance Massey's presence in local and national communities. Event and Project Management and Strategic Planning

Oversee the Director of Executive Communications to develop and implement strategic events aligned with the priorities and vision of the Cancer Center Director and Sr. Leaders. Lead and manage special projects as assigned by the Cancer Center Director and Sr. Leaders, ensuring timely execution and alignment with organizational goals. Monitor the progress of key initiatives and ensure follow-through on priorities identified. Provide project updates and briefings to the Cancer Center Director and other senior leadership as needed. Process Improvement and Quality Assurance

Establish and maintain standard operating procedures (SOPs) across the Executive Operations, Scheduling, and Communications teams to ensure consistency and excellence. Implement continuous improvement practices, driving operational efficiencies, quality assurance measures, and best practices within the Executive Operations units. Support the Directors in risk management and compliance efforts, ensuring adherence to legal, financial, and institutional standards. Administrative and Financial Leadership

Oversee the financial operations of the Executive Operations team, ensuring transparency, accountability, and alignment with Massey's financial objectives. Collaborate on budgeting and forecasting, identifying opportunities for cost optimization and ensuring the team's financial health. Ensure accurate tracking and reconciliation of expenses related to travel, event planning, and scheduling. Team Leadership and Development

Lead, mentor, and develop a high-performing executive team, fostering a culture of collaboration, innovation, and excellence. Provide guidance and professional development opportunities to the Director of Executive Operations, Director of Executive Scheduling, and Director of Executive Communications. Regularly assess and improve team workflows and performance to meet evolving organizational needs. Qualifications

Minimum Qualifications

Education:

Bachelor's degree in Business Administration, Public Administration, or related field required. Master's degree in Business Administration (MBA), Public Administration (MPA), Health Administration (MHA), or related field preferred. Experience:

Minimum 8-10 years in senior leadership and management roles, ideally with progressive experience in executive operations, project management, or chief of staff roles in a healthcare, academic, government, or nonprofit organization. Demonstrated experience in managing complex operations and leading cross-functional teams. Experience in leading strategic initiatives and managing complex projects in a dynamic environment. Demonstrated success in developing community and stakeholder partnerships. Experience in leading initiatives to improve operational efficiency and quality assurance within executive operations. Skills:

Strong leadership, project management, and strategic planning skills. Excellent written and verbal communication, with experience in executive communications. Ability to work effectively under pressure and prioritize tasks in a fast-paced environment. Expertise in managing multiple projects and priorities simultaneously with high attention to detail. Ability to build strong relationships and work effectively with individuals at all levels of the organization. Proven ability to handle sensitive information with the highest level of confidentiality and professionalism. Strong critical thinking and problem-solving abilities, with a focus on proactive solutions. Expert proficiency in Microsoft Office Suite (e.g., Word, PowerPoint, Excel) and familiarity with scheduling and communication software. Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner.

This position requires occasional travel (up to 25%) and the ability to work evenings and weekends as needed.

Preferred Qualifications

Previous experience in an NCI-designated cancer center or similar healthcare organization.
