Community Service and Supports (CSSU) Administrative Specialist , where you'll play a vital role in organizing and enhancing community programs while delivering exceptional administrative support.

Summary of Duties

As an employee working within the Aging and People with Disabilities Program, you will assist older adults and people with disabilities of all ages to achieve well-being through opportunities for community living, employment, family support and services that promote independence, choice and dignity.

As a

CSSU Administrative Specialist , you will:Coordinate unit activities, manage team and partner calendars, and oversee invoicing and accounting, including resolving billing issues with finance staff.Support program planning, organize meetings, conferences, travel, and training, and manage purchase orders, office supplies, and publication development.Maintain and update websites, CSSU shared drive, and contact information systems for effective communication with key partners.Administer the Senior Farm Direct Nutrition Program (SFDNP), including coordinating voucher distribution, resolving participant issues, and ensuring compliance with federal laws.Assist with program monitoring, compliance, and evaluations for various funding programs, and prepare surveys related to AAA and CIL activities.Act as a liaison between agencies, interpret rules and policies, and provide information and direction to staff, partners, and the public.Handle confidential staff files, interpret policies, and assist in the development and maintenance of program procedural manuals.Minimum Qualifications

A valid driver's license and acceptable driving record are required for this position.

Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data

orAn associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data

orAn equivalent combination of education and experience.Essential Attributes

We are looking for candidates with:

Demonstrated accuracy in written tasks such as record keeping, tracking, and documenting, with error-free work and thorough data management.Experience using and navigating technology, including various computer systems and Office 365, with a record of efficient data retrieval and input.Experience communicating clearly, concisely, and effectively, providing consistent customer support, and maintaining professionalism.Experienced in compiling meeting minutes, notes, and agreements, ensuring documentation is complete and accurate.Proven experience organizing tasks, managing time, prioritizing work, and handling projects while adapting to changing priorities.Demonstrated administrative support in an office setting, managing various functions and to improve team efficiency.Attention all candidates!

Working Conditions

This is a hybrid position, your work may be conducted in the office, community, and remotely. Hybrid conditions includes one day in office setting and remaining working days teleworking.Employee may spend more time in office while training and onboarding is completed.Employee may work a flexible schedule; hours of work may fluctuate based on service needs.Rare, compensated overtime may be required, including evening and weekend work.As part of this role, you may encounter sensitive material related to trauma, abuse, or crisis situations. Our team prioritizes a trauma-informed approach, fostering a safe space for both clients and staff.You may interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.This position requires sitting or standing at a terminal and using a computer, copy machine, and telephone for prolonged periods of the workday.This position requires frequent activity including lifting and moving boxes of supplies or training materials.Background Checks and Requirements
