JOB SUMMARYThe Senior Administrative Assistant performs complex administrative duties in support of a department or division. Responsibilities include: providing confidential administrative support; reviewing timesheet and payroll information; providing information to the public regarding routine legal procedures; providing secretarial support to various committees, commissions, or managers; attending meetings; drafting and distributing minutes; editing and formatting documents/letters/reports; explaining Department policies, procedures, and regulations; and performing related duties.Examples of Duties
ESSENTIAL FUNCTIONSPrepares documents and agendas for each Board.Prepares varied and complex department documents, records, reports, and forms requiring knowledge of programs, policies and procedures.Researches, compiles, consolidates, and/or tabulates information; incorporates information into requested reports and other prepared materials; proofreads for accuracy and completeness; and distributes upon approval.Answers department telephones, provides assistance, requested documents and information; refers callers to other staff members as appropriate; and takes messages.Assists with specialized projects to support administrative processes of the department; coordinates activities with other departments as needed.Performs a variety of moderately complex and specialized secretarial functions, e.g., real-time transcription during meetings, formalizing transcription into meeting minutes, records retention and management; gathers, and prepares data; may oversee the work of clerical support staff.Performs a variety of critical record keeping duties, maintains filing systems and relevant materials appropriate to the Board.Receives telephone inquiries and concerns, ascertaining the nature of the call, and resolving personally, or directing it to the appropriate individual or department.Prepares, composes, types, copies, and proofreads specialized forms and records; generates various correspondence, articles, memos, agendas, orders, reports, forms, manuals, or other relevant materials appropriate to the assigned department.Reviews and processes Decal applications for access to Solid Waste and Recycling Centers for County residents.Provides excellent customer service to internal and external customers, and being a great team player.Performs related work as assigned.
Typical Qualifications
Education and Experience:
Requires a high school diploma or equivalent.Four (4) years of administrative support or related work experience; or an equivalent combination of education and experience.Licenses or Certifications:
Valid driver's license.
Supplemental Information
All applicants tentatively selected for a position with Beaufort County Council will be required to submit to urinalysis to screen for the illegal use of drugs and to a background check prior to appointment. Employment is contingent upon clearing both the drug screening and background investigation.
