The Position

Reporting directly to the Events Director, the Senior Event Planner is responsible for leading the daily logistics of ASQ’s event planning and event execution for virtual, hybrid, and in person member-facing conferences hosted by ASQ Headquarters. This role will also partner with the Component Relations and Standards team to manage logistics and support for events as well as with the Events Director to ensure that objectives for external stakeholders are achieved and that financial goals are attained.

Salary Range for this role is $65,000 - $80,000 per year.

Main Responsibilities:

Develops criteria, defines specifications, evaluates venues, and negotiates contracts for event suppliers including (but not limited to) convention venues, production partners, hotels, audiovisual vendors, temporary staff, ground transportation vendors, décor and entertainment vendors, exhibits, and security for event; subject to manager’s review and ASQ contract review process.

Establishes and maintains relationships with ASQ suppliers, exhibitors, and internal and external stakeholders who contract with the Event workgroup for services related to all conferences and meetings.

Collaborates with internal and external stakeholders to ensure successful event execution with adherence to policies and procedures.

Leads planning processes that include timeline development and stakeholder collaboration. Uses Microsoft applications (Word, Excel, PowerPoint, SharePoint), event management applications (Cvent, Salesforce Event Module), and basic project management tools to track and manage event planning processes.

Continuously assesses and improves standard work processes leveraged by internal and external stakeholders while training and developing qualified staff to effectively carry out event planning.

Partners with Event Registration Technology Specialists to evaluate and deploy tools, processes and technology to implement and improve online registration and virtual event content delivery.

Assist in Management of budgets, timelines, and responsibilities of team to ensure planning and execution of seamless program while delivering exceptional client service with a consultative, solutions-oriented approach.

Manages the Conference Council and other volunteer groups to support event success.

Maintains a thorough understanding of ASQ tools and technologies to continuously streamline the process and provide high-level customer experience for all stakeholders.

Works cross-functionally with virtual communities and volunteer groups and builds effective relationships with partners, members, customers, staff, and ASQ/E business leaders.

Bring Your Best: Position Minimum Qualifications

A bachelor’s degree in event management, or similar field; Minimum of 5 years of experience in meeting planning, hotel convention services, project management, and virtual technology platform management; or equivalent combination. Must be able to comply with attendance and timeliness policies.

Working Conditions and Physical Requirements:

Hybrid Office Environment with 2+ days in office at the Milwaukee Headquarters location. Must be able to travel up to 25%.

ASQ is conveniently situated in downtown Milwaukee, immediately adjacent to major freeway exits and the robust downtown economy. The Avenue MKE and Riverwalk access provides our employees easy indoor and outdoor access to shopping, restaurants, and coffee shops. Our office space is in a historic building incorporating newly designed workstations, an option for sit/stand desks, and community and collaboration space. We also offer a hybrid work environment that offers staff the option of working from home up to 3 days per week. Although hybrid is preferred, remote candidates will be considered.
