Job Description

The HOA Specialist will be responsible for the day-to-day HOA transactions that surround keeping various HOA accounts current. This includes going through daily HOA mail, analyzing invoices for pertinent info, coding invoices and reconciling them with the general ledger, communicating with HOAs, and creating new HOA vendors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:Coding HOA invoices and reconciling them with the general ledgerAssist The HOA Operations department with payment of City Violations and rental registrations / business licensesCommunicate with HOAs via both phone and email to obtain appropriate backup for invoicesAssist field team with one-time payments per request (pool keys, tenant registration, ARC applications, etc.)Read through HOA mail for pertinent updates (dues rate changes, change of address, updates to CC&R's)Assist in creation of new HOA vendors and updating current HOA vendorsCommunicating with Operations about valid resident charge backsUpload weekly payment backup into software for SOX complianceMailing HOA PaymentsMonthly review of company's HOA databaseReturned check processing (research, void/re-issue as applicable)Assist Accounting with month-end HOA variance analysis, if necessary

QUALIFICATIONS/REQUIREMENTS:Knowledge of Yardi accounting platform a major plusProficiency with Excel - Pivot tables, basic to intermediate formulaic abilities, Look-up functions, creating AD Hoc reportingKnowledge of general bookkeeping and accounting1-2 years of related HOA experience including familiarity with CC&R Compliance and violation avoidance preferredAbility to problem-solve, research, and summarize, as well as manage multiple projects, prioritize, and meet critical deadlinesPrior property management experience a plusCustomer service backgroundPrior interaction with law firms and city officials is a plusHigh school diploma required, college courses in accounting preferred.Demonstrated attention to detailAbility to work in a team environmentSolid math and financial acumenStrong communication skills both written and verbalThe ability to multi-task and willingness to learn new skills.The ability to work effectively in a high growth environment and a rapidly changing organization.

Salary Range:

Placement within this compensation range will be determined by the candidate's knowledge, experience and skills. $44,340.00 - $66,520.00
