Job Overview:

The CEO Assistant plays a crucial role in supporting the CEO in both professional and personal capacities. This role demands exceptional organizational skills, a high level of professionalism, discretion, and the ability to manage multiple tasks simultaneously. The CEO Assistant will be responsible for travel planning (both domestic and international), office management, household management, and other executive assistant duties as required.

Key Responsibilities:

Travel Planning and Coordination:

Organize and coordinate domestic and international travel, including booking flights, accommodation, ground transportation, and any necessary documentation (e.g., visas).

Ensure all itineraries are detailed, accurate, and in alignment with the CEO's preferences and schedule.

Handle any travel-related changes, cancellations, or disruptions promptly and efficiently.

Research and recommend travel arrangements that align with the CEO's needs and preferences.

Office Management:

Manage office supply inventory, including stocking, ordering, and maintaining adequate levels of supplies.

Ensure the office is well-maintained, clean, and organized by coordinating with cleaning services and addressing any maintenance issues.

Liaise with vendors and service providers to negotiate contracts and monitor the quality of services provided (e.g., office supplies, cleaning services, etc.).

Assist with the coordination of office meetings, including preparing materials, setting up conference rooms, and providing necessary logistical support.

Household Management:

Manage and oversee household staff, including cleaners, landscapers, and other service providers.

Create and maintain a schedule for household maintenance and ensure the home environment is clean, organized, and functioning smoothly.

Act as the primary point of contact for contractors and service providers, ensuring all tasks are completed to the CEO's satisfaction.

General and preventative maintenance is scheduled and performed on company vehicle supplied to the CEO.

Administrative Support:

Assist the CEO with calendar management, including scheduling appointments, meetings, and calls.

Prepare correspondence, reports, presentations, and other documents as needed.

Manage incoming and outgoing communications on behalf of the CEO, ensuring all messages are prioritized and addressed in a timely manner.

Conduct research and provide summaries on various topics as requested by the CEO.

Handle confidential information with discretion and professionalism.

Other Duties:

Anticipate the needs of the CEO and provide proactive support to ensure their day-to-day activities run smoothly.

Manage ad-hoc personal and professional tasks as requested.

Coordinate special projects and events as needed.

Qualifications:

Proven experience as an executive assistant or in a similar role, preferably supporting senior leadership.

Strong organizational and time management skills, with the ability to prioritize tasks effectively.

Excellent written and verbal communication skills.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Google Calendar, Outlook).

Experience with managing household staff and services is a plus.

Ability to handle confidential information with integrity and discretion.

Flexibility to adjust work schedule based on the CEO’s needs, including occasional after-hours support.

Ability to work independently with minimal supervision while being highly attentive to detail.

Education and Experience:

A minimum of 5 years of experience in an executive assistant or personal assistant role.

Experience in managing domestic and international travel logistics is highly desirable.
