POSITION SUMMARY

As the Executive Assistant, you will provide calendar, travel, and expense management, along with, oversight of special projects. We are looking for a creative and strategic thinker who can make the right business decisions that support your Executive's priorities, take initiative, and is able to handle a full desk with ease and thrive in a busy environment.

This position will be full-time onsite at the Sunnyvale HQ location.

POSITION DUTIES AND RESPONSIBILITIES
  • Prepare reports, presentations, and meetings including assisting with formatting, editing and consolidation. Reports can include quarterly Board of Directors reports, monthly executive reports, biweekly executive committee (EC) and operation meeting agenda and minutes.
  • Managing agenda and timekeeping for biweekly EC and operations company meetings.
  • Calendar Management: Own the executive's calendar; coordinate across C-suite-execs, business partners and team members by prioritizing schedules and qualifying requests.
  • Meeting Planning and Organizations: Assist in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based upon participant needs and all other meeting logistics. Prepare/upload PowerPoint presentations and materials on the share drive, documents minutes.
  • Travel: Responsible for making travel arrangements. Carefully consider and decide the optimum travel arrangements and itinerary for calendared meetings and reconciling trip expenses in a timely matter.
  • Expense Report Management: Manage and timely submittal of executive's expense reports for reimbursement.
  • Perform and assist in special projects including, but are not limited to, company training administration, suggestion box administration, organizing quarterly all-hands and balanced score card company meetings, planning executive communication working lunches, and managing distribution lists.
  • Translate confidential documents/correspondences from Japanese to English, using appropriate translation software as needed.
  • Make suggestions to management for process improvement and efficiencies.
  • Work safely by observing safety rules, policies and procedures. Identify unsafe conditions or actions to my supervisor.


POSITIVE REQUIREMENTS
  • At least 5 years' administrative experience, with at least 2 years of executive administrative support
  • Proficient with Microsoft Office applications (Word, PowerPoint, Excel, Outlook and Teams) and Adobe Acrobat
  • Bachelor's Degree in business or equivalent
  • Verbal and written fluency in Japanese and English with ability to translate between languages is a plus
  • Outstanding track record of performance
  • Great attention to detail and the maturity to handle confidential information is a must
  • Excellent verbal and written interpersonal skills; in person and 'virtually'
  • Possess extraordinary organizational and time management skills
  • Proven ability to take initiative and build strong, productive relationships.
  • Intuitive problem-solver with thoughtful anticipation of deliverables
  • Team player with a can-do attitude and flexible to changing priorities


Salary Range : $90,000 ~ $115,000 (Exact compensation may vary based on skills, experience, and location)
