Job Summary:

Seeking an Executive Assistant to provide high-level support to the Chair of the Corporate & Private Equity Department in either the Pittsburgh or New York office. This role involves managing administrative tasks, coordinating with lawyers, clients, and professional staff, and supporting business development initiatives. The successful candidate will manage time entry, billing, collections, travel arrangements, and meetings while ensuring efficient operations within a fast-growing department of over 85 lawyers.

Key Responsibilities:
  • Manage the Chair’s calendar, including scheduling meetings, teleconferences, and travel, and processing expense reports.
  • Anticipate the Chair’s needs to enhance efficiency and manage all aspects of their practice.
  • Collaborate on business development activities, including client communications and event planning.
  • Oversee and coordinate the Chair’s client billing team, ensuring seamless support and exceptional service.
  • Act as a liaison for new matter entry, department meetings, expense reviews, and approvals.
  • Maintain professional relationships with US and International attorneys, staff, and clients.
  • Provide phone coverage, route calls, take messages, and handle in-person client interactions.
Minimum Education & Experience Requirements:
  • Bachelor’s Degree preferred.
  • 3-5 years of experience in executive-level administrative support, preferably in a law firm or professional office environment.
Special Requirements:
  • Experience with calendar management, travel arrangements, and expense reports.
  • Knowledge of electronic time entry, billing, and invoicing systems; familiarity with 3E is a plus.
  • Typing speed of 60 WPM, strong proofreading, and editing skills.
Knowledge, Skills, and Abilities:
  • Ability to manage multiple tasks, troubleshoot scheduling conflicts, and ensure smooth operations.
  • Strong communication, planning, and organizational skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other firm-provided software.
  • Strong math aptitude and advanced Excel skills.
  • Ability to work independently, with a team, and with minimal direction when necessary.
  • Professional demeanor, with the ability to handle sensitive and confidential information.
