Clinic Services Coordinator-Family Medicine

The University of Iowa Health Care Department of Family Medicine is seeking a Clinic Services Coordinator to coordinate and facilitate the flow of patient access activities and provide functional and/or administrative supervision and day-to-day overview of patient services related to delivery of primary care, registration, scheduling, and copayment collection. Provide support in the Department of Family Medicine and the Family Medicine clinic by design and application of provider schedule templates in Epic.Duties include:Provide administrative supervision to frontline clerks, supervise, participate in coverage of front desk, assign daily tasks, assist in interviews & hiring, supervise training, evaluate performance, ensure compliance with rules and regulations, maintain and review supervisory personnel records of Family Medicine Clinic reception/scheduling support staff, make recommendations for revisions or initiation of new procedures, and resolve workflow problems.Hire, develop, and manage the performance of other administrative clinic personnel.Serve as a role model and provide training, direction, and coaching to frontline staff as needed.Development, design, application, and maintenance of provider schedules in Epic, including designing timeframes, appointment types, inclusions, exclusions, and appointment limits.Perform daily and weekly provider schedule updates as needed.Monitor provider schedules to identify scheduling errors and opportunities for template updates to maximize provider productivity and improve patient care workflow.Schedule, reschedule, and/or cancel Family Medicine clinic appointments, specialty clinic appointments & diagnostic test appointments, and manage incoming referrals and requests for appointment scheduling.Collaborate with clinic faculty and management regarding scheduling guidelines workflows, changes, and process improvements.Serve as liaisons between frontline, clinical, and faculty providers and staff on a day-to-day basis.Work with Patient Financial Services regarding the management of Pre-Access, Financial Counseling, or billing-related activities.Provide recommendations to department leadership on policies and procedures to improve patient care and utilization of clinic resources.Manage and coordinate service recovery initiatives for patients and implement processes to enhance patient and customer satisfaction.Serve as a liaison between clinic and Patient Appointment Center ensuring that operational guidelines and materials are accurate and followed.Keep up to date and utilize QGenda as our master scheduling software, serving as a resource for frontline and scheduling staff in using QGenda.Communicate and work closely with support staff assigned to master schedules to ensure master scheduling needs are met.Prepare, analyze, and collect data for Family Medicine Clinic as directed, utilizing Epic, Tableau, QGenda, and other tracking means.Display initiative and cooperation in performing assigned duties, such as identifying projects to improve office flow, organizing work to prioritize assignments, reporting problems in workflow to supervisor, and completing other duties as assigned by supervisor within the agreed-upon time frame unless an extension is requested and approved.Other duties as assigned.Percent of Time: 100%Pay Grade: 4A

here .Education Requirement:A Bachelor’s degree in a healthcare and/or business management related field or an equivalent combination of education and experience.Required Qualifications:Minimum of 1-3 years of supervisory experience in a professional environment is required.Demonstrate careful attention to detail and accuracy, strong organizational skills, and ability to handle multiple tasks quickly and effectively, proactively establish priorities and meet deadlines.Excellent written and verbal communication skills.Proficient in computer software applications (Microsoft Office Programs).Desirable Qualifications:In-depth knowledge and capability within the Epic EMR is desired.Knowledge, understanding, and experience creating and adjusting clinic templates is recommended.Application Process:To be considered,
