Description

This role will manage student data related to testing and state/local reporting. Responsibilities include overseeing test scheduling, proctoring, distribution, logistics, scoring, inventory management, training, and ongoing maintenance. For state and local reporting, the role will coordinate data submissions to CALPADS and other relevant programs and databases, such as our student information system, conduct audits, certify and publish student and staff information to CALPADS and other agencies at various levels, and provide technical assistance to schools and central office administrators on data analysis and reports. Additionally, the position will support and guide compliance reporting related to programs such as the National School Lunch Program, and handle other special projects and related duties as assigned.

PRIMARY RESPONSIBILITIES INCLUDE: Testing Implementation and Certification : Manage the execution and certification of mandatory state and county testing procedures. Professional Development : Attend professional development sessions, staff meetings, conferences, and workshops to stay updated on the latest procedures and protocols related to high-stakes testing and reporting at school sites. Report Production : Collaborate with the Executive Director of Teaching and Learning to produce routine reports. This includes charting and graphing results using spreadsheet, graphing, and presentation software, ensuring completeness and accuracy, and distributing these reports to schools. Test Material Management : Order test materials, maintain inventory, package and mail outgoing materials, prepare testing materials and oversee the processing of answer sheets. Data Processing : Operate various data processing equipment and programs as needed. Documentation and Communication : Type a range of materials, including letters and internal communications. Address inquiries using knowledge of school, departmental, and program policies and procedures, and request records from other Local Education Agencies (LEAs) as necessary. Scheduling and Procedures : Maintain a detailed calendar of events, due dates, and schedules. Independently initiate necessary procedures for testing and reporting. Document Management : Receive, review, and verify documents, records, and forms for accuracy, completeness, and compliance. Form and System Development : Develop or assist in creating forms, worksheets, and record-keeping systems for the collection, dissemination, and maintenance of information related to specialized programs and functions. CALPADS : Serve as the district/school coordinator for CALPADS (California Longitudinal Pupil Achievement Data System), CAASPP (California Assessment of Student Performance and Progress), College Board, and other local tests. Testing Proctor:

Proctor CAASPP (California Assessment of Student Performance and Progress), College Board AP Exams, ELPAC, NWEA NWEA MAP and PFT. Data Monitoring and Updating : Monitor, maintain, and update district data within CALPADS and related programs and databases, in compliance with requirements from the California Department of Education (CDE), County Office of Education (COE), and the National School Lunch Program. Procedure Implementation : Research, design, and implement procedures to audit, certify, and publish student and staff information to CALPADS and other local, regional, state, and federal agencies. Technical Assistance:

Offer technical support to schools and central office administrators concerning CALPADS and PowerSchool requirements and reports. Communication:

Regularly update the Executive Director of Teaching and Learning on CALPADS timelines and requirements. Documentation Preparation:

Prepare or revise complex documentation in accessible, non-technical language for users. Task Performance:

Execute work-related tasks both remotely and on-site at various district locations. This position will report to:

COMPENSATION:

$70,000 - 80,000 annually

Qualifications

MINIMUM QUALIFICATIONS:

Education and Experience:

Recommended to have two years of college education or equivalent on-the-job experience, with a focus on technology and computer systems Technical Training:

Training in computer systems and software, including databases, spreadsheets, and word processing. Proficiency in Microsoft Office (Excel, Word, PowerPoint), Google Suite, and similar applications is required. Student Information Systems Knowledge:

Familiarity with Student Information Systems is preferred, particularly PowerSchool and CALPADS.. Communication and Confidentiality:

Ability to communicate effectively in both verbal and written forms while maintaining confidentiality regarding student, staff, and district data. Bilingual skills are a plus. Learning and Application:

Ability to quickly learn and apply the operations, procedures, policies, and requirements of the assigned unit with sound judgment in various situations. Instruction Compliance:

Capable of understanding and independently following a range of oral and written instructions. Relationship Building:

Ability to establish and maintain effective relationships with both site-based and district-based staff. Driver's License:

Possession of a valid California Driver's License.
