Job Summary:We are recruiting on behalf of a small government contractor client for an Executive Assistant to support a Finance Executive of a large federal government agency. This role involves managing a variety of administrative tasks, ensuring efficient daily operations, and acting as a key liaison between the executive and internal/external stakeholders. The position requires in-office presence 3-4 days per week.Key Responsibilities:Provide executive-level administrative support to the Finance Executive, including managing calendars, scheduling meetings, and coordinating travel arrangements.Prepare and edit financial documents, presentations, and reports, ensuring compliance with government standards and regulations.Manage confidential and sensitive information with a high level of discretion.Assist in preparing financial documentation, tracking budgets, and processing invoices.Serve as a primary point of contact for communications with internal departments and external agencies, managing email and phone correspondence on behalf of the executive.Organize and maintain both electronic and paper files for efficient record keeping and audit readiness.Coordinate meetings, including agenda setting, taking minutes, and following up on action items.Conduct research and gather data to support the executive on various ongoing projects.Perform additional administrative duties as needed to support the executive and the broader team.Qualifications:A minimum of 4 years of experience as an executive assistant, ideally within a government contracting or federal government environment.Exceptional organizational skills, with the ability to multitask and prioritize tasks in a fast-paced setting.Excellent written and verbal communication skills, with the ability to interact professionally with senior government officials.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools.Experience with government procurement processes and financial documentation is an asset.Strong ability to work independently, exercising sound judgment and attention to detail.Availability to work in-office 3-4 days per week and meet all relevant security clearance requirements.Preferred Skills:Familiarity with federal finance and procurement processes.Prior experience working within the government contracting industry.Work Environment:The role is primarily office-based, with some flexibility for remote work as needed.You will be working in a collaborative and supportive environment with a small team focused on federal agency contracts.
