The Coordinator of Experiential Education is a full-time position providing support for pharmacy practice experiences at the McWhorter School of Pharmacy. This person works closely with the Vice Chair and Director of Experiential Education, Assistant Director of Experiential Education - Operations, Office of the Associate Dean for Academic Affairs, Samford University's College of Health Sciences Attorney, Affiliate Clinical Instructors (Preceptors), Practice Site Coordinators, and all other staff to ensure the school meets all contractual responsibilities for execution of the Office of Experiential Education.Job Duties

Assists in the process of scheduling experiential rotations to ensure optimal student experiential experiences.Confirms enrolled students are registered for the appropriate experiential courses to meet the program requirements for the Doctor of Pharmacy curriculum with the Office of the Associate Dean for Academic Affairs.Notifies students and preceptors of experiential schedules or changes thereof, to their experiential courses.Supports preceptors regarding student assessment forms and documents ensuring prompt and complete documentation consistent with accreditation requirements.Assist the Director and Assistant Director of Experiential Education with grade collection, calculation, and submission for IPPE courses.Maintains positive relationships with affiliate clinical instructors and practice sites.Works in collaboration with the College of Health Sciences Contracts and Operational Services Administrator to accurately processes practice site affiliation agreements.Manages affiliate clinical instructor applications, profiles, onboarding, and appointments as required by the Office of the Provost and in compliance with Accreditation Council for Pharmacy Education (ACPE) accreditation guidelines.Maintains tracking of preceptor compliance for affiliate clinical instructor appointments and Alabama preceptor licensure.Assists with entering and updating affiliate clinical instructor availability in the data management system.Manages and processes preceptor and practice site disbursements.Identifies and reports site and preceptor related needs in carrying out the experiential components of the doctor of pharmacy degree program.Works in collaboration with the Director with conducting preceptor development programs.Works in collaboration with the Director and Assistant Director to prepare and distribute communications to affiliate clinical instructors from the Office of Experiential Education.Assists the Director and Assistant Director in data management, aggregation, and analysis for experiential office assessment reports and data outcomes.Serves as a liaison between the school's development officer, the Associate Dean of Student Affairs, and the Office of Experiential Education to ensure consistency in outreach to alumni who may also serve the program as affiliate clinical instructors.Assists in the maintenance and forecasting of the Office of Experiential Education's budget.Periodically conducts experiential in-person and/or virtual site visits ensuring quality assurance, to generate and maintain site affiliations, preceptor relations, and to document compliance with accreditation standards.Assists in data management, writing, and reviewing the self-study report to the ACPE.Performs other duties and responsibilities as assigned by the Vice Chair and Director and of Experiential Education, Assistant Director of Experiential Education, Operations and Chair of the Department of Pharmacy.

Qualifications

Must possess a high school diploma with preference given to college degree(s)/coursework and related work experience. Previous work experience of at least three years in office administration, budgeting, and communications is preferred. Must be technologically adept and proficient in the use of Microsoft Outlook, Word, Excel, PowerPoint, contemporary methods for electronic filing, internet searching, and computer applications including web conferencing platforms. Previous experience with learning management systems and E-Value software is preferred, but not required.
