Position Summary:

The position of Site Administrator is responsible for coordinating the day-to-day operations of the facility to support all business units and will manage daily transactions of the global Access Control System.

Position responsibilities:Welcomes guests by greeting them in person; responds to inquiries; announces visitors.Answers, transfers/directs all incoming calls; takes phone messages as appropriate.Remains current with visitor and event information; responds to inquiriesProcesses all in-coming mail for the organization per protocol and delivers as requiredRequires ability to work flexible and extended hours, including nights, weekends, and holidays, in addition to normal business hours as requiredProvide administrative support to Site Director(s), including typing correspondence, maintaining the calendar, making travel arrangements, compiling expense reports, and monitoring of contract compliance for the facility, including ensuring compliance.Perform general administrative functions, including faxing, photocopying, mail distribution, bulk mailings, purchase requests, check requests, and other administrative duties as assigned.Assist with various event-related duties as needed.Act as a point of contact for equipment/services/operations issues in the facility and coordinate with facilities liaison to resolve issues, including obtaining event planning authorization.Maintain the Access Control cards and Access Levels for the global Access Control system.Interact with global managers to maintain and report Access Control issuesRemains current with emergency protocols related to visitors, call handling, and notifications to Security and Safety Compliance - security badges, office keys, access to Mothers room, Health and Safety protocol issues, (i.e. masks), etc.Directs job applicants and administration of related documents under the direction of human resources/ recruiting departmentOther duties and projects as assignedJob Requirements:

Minimum of 1-year administrative experienceExcellent organizational, planning, and time management skillsExcellent computer skills; basic math and financial skills for reporting and evaluationProficient in MS officeMust be adaptable, be able to multi-task and prioritize deadlinesA friendly dispositionExcellent written and verbal English communication skillsAbility to independently troubleshoot and drive issues to resolutionMust possess excellent customer service skills and a willingness to be helpfulExperience in guest services or in a client-facing roleAbility to maintain professionalism in all situations
