School Year: Monday Friday, 2pm 6pmSummer: Monday Friday, 12pm to 4pm*Occasional Saturdays for Special Events and Trips*Salary:
$24.73/Hr. - $27.47/HrJob Summary:
The Administrative Assistant will be responsible for all of the administrative aspects of the program. This includes but is not limited to, maintaining records and files (hard copy and electronic), data tracking including attendance in online databases, and clear and concise communication with staff, participants, families, and the community. Additionally, the Administrative Assistant will assist the staff in the orderly processing of all aspects of the administration of the program as may be required.Major Duties:Assist program supervisors in all programmatic duties.Assist in the outreach efforts and registration of all program participants.Plan and conduct an enrichment/SEL activity in the program as needed.Conduct and track daily participant absent calls for wellness checks.Oversee the distribution of all flyers and collection of permission slips for events and programming.Enter daily attendances for all program participants in DYCD connect.Organize all participants files and program documentations.Assist program on monthly events and/or trips.Assist in the operational needs of the program where needed.Manage all petty cash receipts and submit for reimbursements on monthly basis.Purchase and take inventory of office supplies.Answer and direct all incoming calls to appropriate staff.Greet participants and guests upon arrival.Perform other duties as assigned.Qualifications:High School Diploma/ GED required.2 years secretarial/administrative experience required2 years of Youth Development Experience Required.1 year of office management (inventory/purchasing/budgeting/accounting) experience required.Must have knowledge of Microsoft Office Suite.Excellent verbal and written communication skills required.Must have a commitment to work from a strength based and/or Youth and Community Development perspective.Must have ability to interact in a positive and courteous manner with all visitors and callers to the agency.Must be able to multitask and be flexible with program Needs.Additional Information:Good Shepherd Services is an equal opportunity employer that is proudly committed to becoming an anti-racist and multicultural organization that stands up for justice and equity.
