Full-Time, Contractual, 1 Vacancy Hourly Range: $20.03 - $24.85/hour 100% On-Site Address: Howard County Health Department 8930 Stanford Blvd. Columbia, MD 21045 Main Purpose of the Job: The main purpose of this position is to provide secretarial and administrative support to the County Health Officer directly or by delegation or referral to other executive staff members. We are seeking an Administrative Assistant that is detail-oriented and customer-focused to support daily office functions, including scheduling meetings, managing calendars, assisting with digital and in-person meetings, and providing receptionist duties. The ideal candidate will have strong communication skills, proficiency in Microsoft Office Suite, and a positive, professional demeanor. Job Duties: Administrative Support: Draft, edit, and proofread correspondence and reports. Manage computerized files and create reports, graphs, and charts. Compile data and maintain confidential schedules and files. Handle and prioritize incoming mail and email for the Health Officer, respond to correspondence, and distribute work-related materials. Conduct research as needed. Assist with various administrative tasks as needed, with appropriate instruction and guidance. Meeting and Calendar Management: Schedule meetings and manage calendars using Microsoft Outlook. Coordinate appointments, conference calls, and events for staff. Assist with setting up and managing on-site meetings. Record and distribute accurate meeting minutes. Document Preparation: Assemble, create, and edit basic Microsoft Word documents. Prepare simple Microsoft Excel spreadsheets for various tasks and reports. Technical and Customer Support: Provide technical support for digital meetings using platforms such as Zoom, Microsoft Teams, and WebEx. Serve as the primary point of contact for visitors and phone inquiries. Greet and assist visitors with a friendly and professional demeanor. Provide excellent customer service in person and over the phone. Desired Qualifications: Previous experience as an administrative assistant or receptionist. Experience taking meeting minutes. Experience with Microsoft Outlook, Word, and Excel. Familiarity with or willingness to learn digital meeting platforms (Zoom, Teams, WebEx). Strong interpersonal and customer service skills. Ability to multi-task and manage time effectively. Positive attitude and team player. Minimum Qualifications: Education: Graduation from an accredited high school or possession of a high school equivalency certificate. Experience: Five years performing secretarial work or clerical work involving typing duties. Notes: 1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. 2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. 3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
