Administrative Assistant

Position Summary:

The Administrative Assistant provides clerical and administrative support to ensure the efficient operation of the facility. This role involves assisting with financial transactions, patient admissions, scheduling, and general office duties. Responsibilities include verifying patient insurance information, managing accounts receivable, handling referrals, welcoming new patients, and ensuring a positive experience for all involved. The Administrative Assistant works closely with the Office Manager, Administrator, and other staff to maintain smooth daily operations.

Qualifications:

- High school diploma or equivalent.

- Minimum of 6 months of experience in an office setting (basic knowledge of computers, copiers, fax machine, etc.).

- Experience in a hospital or nursing facility preferred.

- Experience with Point Click Care (PCC) preferred.

- Computer skills required to perform clinical documentation and other data entry.

- Ability to multitask and handle stressful situations with tact and kindness.

- Outstanding written, verbal, organizational, and time management skills.

- Proven customer service or other professional/emotional maturity training or experience.

- Cheerful disposition, able to handle upset patients/family members professionally.

Responsibilities:

- Assist in organizing, documenting, processing, and reporting on financial transactions, including accounts receivable, deposits, and billing.

- Track, update, and report on facility/patient/resident census changes.

- Verify patient insurances and ensure completion of necessary paperwork.

- Provide backup for office staff members, including answering phones and covering for reception.

- Perform data entry, report creation, and spreadsheet updates as directed.

- Review referrals and assist with patient/guardian/advocate interviews to secure all necessary information and paperwork for admissions.

- Ensure rooms are ready for incoming patients/residents and welcome new patients, ensuring a positive experience.

- Maintain an accurate count of available beds, update the list of all residents and their assigned rooms, and provide information as needed to requesting agencies and authorized personnel in accordance with privacy regulations and policies.

- Admit, transfer, and discharge residents in accordance with all regulations.

- Review, update, and provide admission information packets, including resident rights, notice of privacy practices, admissions contracts, etc.
