General Statement of Duties

This is a 260-day (12 month) position located at Central Office for 2024-2025.Starting annual salary for this position is $50,082.12 or based on promotion policy for internal candidates.

Essential Duties

Screens daily calls from parents, court services personnel, attorneys and GALs, Department of Social Services, and other stakeholders; directs messages and mail to appropriately and provides follow up when needed.Types letters, reports, and requisitions.Receives and distributes subpoenas received from attorney's office.Understands and correctly responds to all requirements for compulsory school attendance procedures.Utilizes PowerSchool, Performance Matters and Web Reporting to extract attendance reports.Maintains records for foster care students.Collects data and prepares annual state reports.Receives and maintains Child Protective Service reports filed from all schools.Processes direct pay and purchase requisitions.Support maintenance of staff service logs, assessment protocols including monitoring the inventory and check-out processes.Orders office supplies and assessment protocols and tools from vendors.Maintains record of staff leave.Ensures timely and accurate processing of payroll.Maintains ledger of accounts.Maintains data for grant funded projects.Makes travel arrangements and completes appropriate forms and vouchers for scheduled travel.Checks and orders safety equipment and supplies as needed.Arranges meeting space locations both within and outside of school division.Maintains and updates calendar for supervisor , as requested.Collaborates with TST to resolve technology issues for department staff.Assists with planning, organization, and support for special projects and events.Participates in training when needed for an assigned task or responsibility.Files and maintains filing system for records that are subject to state audit.Completes annual Inventory Report.Performs other duties as requested by supervisor and dictated by the needs of the department.

Minimum Qualifications

Proficient in Microsoft Office, (Word, Excel, Outlook, Entourage, Power Point; Google Suite (Drive, Docs, Slides etc.) Performance Matters, PowerSchool, School Wide Information System, and other department specific programs. Knowledge of English grammar, punctuation and arithmetic; skill in typing, ability to read, spell, proofread; ability to file alphabetically, numerically and chronologically, able to maintain records, organize, use the telephone, listen, understand and follow directions; ability to write legibly; ability to schedule and coordinate meetings and conferences; ability to interpret written material and to communicate verbally; ability to verify data; ability to learn the policies and procedures of Henrico County Public Schools; ability to exercise mature judgment and to make independent decisions in accordance with established policies and procedures; ability to compose and prepare effective correspondence; ability to establish and maintain effective working relationships with other employees and the public; displays sound logical reasoning in interpersonal relationships in the performance of duties, maintains confidentiality of employee and student information, avoids behavior contrary to good professional practice.
