We are a full-service plumbing, mechanical, HVAC service, controls, and design-build company. We have served the Shenandoah Valley since 1940.

Primary Purpose of the Administrative Assistant position:
General administrative functions to support Sales Manager, Sales Representatives, VP of Service, and Division Service Managers.
Principal duties of the Administrative Assistant:
- Format and process sales proposals for new service agreements, set up new customers and agreements in the system, obtain setup information needed for new customers and credit application approval.
- Send startup letters to customers after acceptance of new service agreements.
- Enter equipment in the system with PM tasking schedule for new agreements, renewals, and updates as needed using the fact sheet information, information provided by the sales team or operations.
- Prepare presentation packets for requests for bids/proposals; maintain technician training lists for resume updates for bids and proposals and maintain on the server.
- Monthly sales reporting – to include tracking new agreements and renewals for reporting, sales commissions, etc.; update New/Lost Agreement report as needed monthly and any other reporting needs.
- Order and maintain technical literature - service brochures, etc.
- Assist sales team with any customer service needs.
- Mechanical permits and check requests for permits; bid bond requests; send customer warranty letters for new equipment installations.
- Submit vendor certification documentation as requested by customers.
- Set up and maintain new special customer labor rates, markup tables in the system as needed.
Education and Experience Requirements:
- Minimum 3-5 years’ experience performing administrative duties
- Strong computer skills; proficient with Microsoft Office
Physical Requirements:
- Normal lifting and bending that would typically be required in an office environment
Other Requirements:
- Maintain punctual and regular attendance
- Ability to work on a team and interact with people
- Ability to work in a fast-paced environment
- Ability to multi-task
- Strong verbal and written communication skills
