Opportunity
The Executive Recruiting Coordinator is responsible for owning all candidate coordination for Kohler Company’s executive-level openings. This role will be responsible for managing the entire coordination lifecycle for requisitions that are Director-level and above, including ownership for all interview coordination, candidate experience, Kohler experiences (i.e., facility tours, business meals, realtor meetings), and travel arrangements. The Executive Recruiting Coordinator acts as a consultative partner and works closely with senior business leaders, HR leaders, administrative teams, external agencies, and Kohler’s in-house executive recruiting team.
The Executive Recruiting Coordinator is part of a Talent Acquisition (TA) Center of Excellence that supports an exciting array of work across executive and professional hiring, technical and manufacturing roles as well as our hospitality industry. The person in this role will be a trusted partner and can think critically, move with a sense of urgency, prioritize effectively, and work with a high-level of professionalism and confidentiality where required. The role will be reporting to the Program Manager, Talent Acquisition Operations.
Specific Responsibilities
- Act as primary owner for creating interview agendas and scheduling virtual and onsite interviews for executive-level candidates.
- Build strong partnerships with Executive Assistants to effectively manage complex calendars with a high-level of detail and collaborate to prioritize critical interviews.
- Arrange all candidate travel logistics and facilitate onsite experiences (i.e., guides to interview locations, managing gaps, etc.).
- Be available to support urgent changes to interview agendas as required.
- Own the ordering and/or scheduling of applicable candidate assessments.
- Serve as the primary point of contact for executive-level candidates, hiring teams, HR partners, and executive recruiters.
- Work independently, operate with a high sense of urgency, and effectively manage multiple priorities to ensure prompt follow up, high quality work, and effective communication.
- Help facilitate and manage third-party recruiting vendors that support our executive searches, including but not limited to, engagement, SOW’s, PO’s and invoicing.
- Assist with the updates of executive candidate tracking and reports.
- Effectively communicate with key stakeholders while managing multiple tasks and action items, ensuring timely action and visibility on deliverables.
- Participate in executive-level recruiting intake and update calls, as needed.
- Maintain confidentiality of privileged information, such as confidential searches, candidate information, etc.
Skills/Requirements
Basic Requirements
- Minimum of 4 years of experience in the Talent Acquisition function in a candidate interview coordination role.
- Experience creating candidate interview agendas, scheduling interview appointments, and arranging candidate travel (flights, hotels, vehicles, etc.).
- Experience interfacing with C-level company executives, HR VPs+, Executive Assistants.
- Ability to travel 10%+ of the time, with regular visits to Kohler, WI, as needed.
Preferred Qualifications
- Bachelor’s degree.
- 1+ years of experience coordinating interviews for executive-level candidates.
- Experience acting as a partner and trusted advisor on candidate experience.
- Demonstrated success in managing multiple priorities and stakeholders with a high sense of urgency.
- Goal-oriented and proactive, with the ability to work both independently and with a team.
- Excellent customer and interpersonal skills.
- Experience handling confidential information and matters with discretion.
- Problem-solving skills with the ability to independently adapt and create solutions.
- Ability to anticipate bottlenecks, manage escalations and be agile.
- PC skills required, including a high level of proficiency with Microsoft.

The hourly range for this position is $23.20 - $29.00. The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
