Responsibilities
- Manage a heavy scheduling load across multiple time zones ensuring that the proper stakeholders are included while proactively establishing priorities and resolving scheduling conflicts which will help maximize the CEO's time.
- Make all arrangements for international and domestic travel and events, and anticipate when externalities or shifting priorities require changes.
- Be willing to travel to remote offices domestically and internationally to help the CEO execute on productive business trips.
- Assist in preparation or note-taking for meetings that require input of the CEO, and facilitate processes including signatures and approvals.
- Maintain secure, digital/physical filing of documentation for the CEO in collaboration with the Legal, Finance or IT team and keep information confidential and secure.
- Work with the CEO/Chief of Staff to ensure meeting agendas are in place for all of the CEO’s meetings, including executive sessions and for the board.
- Prepare timely, polished materials when needed, including gathering and editing presentations, and content from across the organization.
Requirements
- A minimum of 5 years of professional experience. Prior experience with executive support, communications, or project management preferred.
- Experience working at a high-growth startup, or in an established corporate environment.
- Highly proficient with PowerPoint, Word, and Excel, and the Google suite of applications.
- The ability to travel up to 25% of your time, domestically and internationally, as needed without hesitation or administrative hurdles (international visas for example). This might be for one or two weeks at a time and within the same month. We frequent New York, Los Angeles, Chicago, London, Hamburg, Warsaw, Amsterdam, Porto, Mumbai, Tokyo, Taipei and Sydney.
