Building Secretary/Registrar
POSITION PURPOSE: To assist in performing a variety of responsible and confidential duties to support the day-to-day operations and functions of the school, including support to students and their families, staff and administration and recording of building financial transactions.
ESSENTIAL FUNCTIONS:
- Welcomes and greets the public: students, parents, school personnel and other patrons.
- Processes all telephone, written and electronic communications. Directs calls/communications to appropriate personnel.
- Serves as a source of information and a communication link and between administrators, staff, parents, at the request of administration.
- Maintains correspondence, student records, reports, confidential files and other documents.
- Assists administration in creating and coordinating advertising, marketing, and promotional activities related to school matters.
- Keeps student files up to date (electronic and cumulative records).
- Responsible for assigned state and federal reporting related to school operations.
- Establish extra-curricular accounts in accordance with the requirements and accepted procedures of the State Board of Accounts and the School District.
- Receive and receipt all monies deposited with the school.
- Process all purchase orders in compliance with District policy.
- Maintain all accounting records in compliance with District policy.
- Assist building staff in utilizing and depositing funds in compliance with District policy.
- Assist Building Administrators in the preparation of the annual budget for supplies and equipment.
- Requisition supplies and equipment as requested by Building Administrator and/or staff.
- Monitor all budget funds and grant monies assigned to the building.
- Receive all supplies and equipment and distribute to appropriate staff members.
- Develop and submit monthly reports as required including bank reconciliation.
- Prepare materials for auditors and cooperate fully with audit needs.
- Pay all bills in a timely manner.
- Assist in maintaining building fixed asset inventory.
- Assist in the collection of fees for school and food service.
- Communicate with vendors as necessary.
- Performs other duties at the request of the building principal.
REQUIREMENTS:
- Must be at least 18 years of age
- High school diploma or GED, prefer additional education in Business Administration
- 1-year related experience and/or training; or equivalent combination of education and experience.
- Ability to learn and effectively use designated technology and software.
- Strong communication skills, both oral and written.
- Ability to accurately enter and retrieve computerized data, very detail oriented.
QUALIFICATIONS:
- Excellent proofreading, writing, and grammar, spelling, and word processing skills
- Highly motivated and open-minded; a self-starter who will assume initiative and responsibility for projects while being open to change and/or the suggestion of others
- Excellent organizational skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes
- General knowledge of computer usage and ability to use a variety of technology and software programs, including standard school software, accounting software, internet software, e-mail, spreadsheets and word processing software.
- Ability to appropriately communicate with students, teachers, parents and members of the community.
- Knowledge of and ability to keep financial records accurately and follow District and State Board of Accounts processes and procedures in regards to handling cash and financial transactions.
- Ability to add, subtract, multiply and divide.
- Ability to exercise good judgment and work in an environment with frequent interruptions.
- Ability to work accurately in a fast-paced work environment and maintain confidentiality in all school matters
- Ability to function and contribute to a team atmosphere.
- Follows up, follows through, and completes tasks
HOURS: Extended school year; 209 days per year; 40 hours per week, daily hours (7:30am to 4:00pm)
SALARY: $18.00-$18.75, rate is dependent upon education and/or experience. (Schedule #22-1)
