Summary of Position:
The Administrative Assistant will be responsible for providing corporate and office support while managing day-to-day administrative tasks. The Administrative Assistant will assist key executives in prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements.
Principal Duties and Responsibilities:
- Ensure the execution of projects by observing overall goals and maintaining systems and processes.
- Assist in setting up new vendors in the accounts payable system.
- Provide administrative support in tracking and coding legal matters and related invoices.
- Assist in the administration of collecting and processing checks received by mail.
- Prepare business letters, memorandums, and other correspondence using Microsoft Office.
- Prepare and process timely expense reports for two to three executives.
- Answer and screen phone calls and take detailed messages.
- Greet visitors and set up and clean up for business meetings.
- Coordinate meetings, appointments, and business travel arrangements.
- Proactive management of calendars, schedules, and appointments, prioritizing current tasks and anticipating future needs.
- Develop efficient processes for office management, including supply ordering and maintaining office organization.
- Ensure the office space is tidy, well organized, and well-kept at all times.
- Assign, collect, and track building access cards.
- Operate and troubleshoot standard office equipment.
- Manage meeting materials and mailings.
- Order food and gifts as requested.
- Assist with special projects and cross train as necessary.
General Overview of Compensation & Benefits:
- We reasonably expect the base compensation offered for this position to range from $33.65 - $36.05 per hour, subject to adjustment based on business-related factors such as employee qualifications, geographic pay differentials (e.g., cost of labor/living, etc.), and operational considerations.
- This position will be eligible for company benefits in accordance with Company policy. Education and Experience Requirements:
- High School Diploma or GED required.
- Must have experience with administrative support in a corporate office environment.
- Professional appearance and demeanor.
- Advanced Microsoft applications experience (Outlook, Excel, PowerPoint, Word, Teams).
- Detail-oriented with the ability to manage multiple tasks with competing deadlines.
- Excellent organizational, interpersonal, quantitative, writing and communication skills.
- Professional demeanor in greeting visitors and representing the company.
Additional Requirements:
- Must be a notary public, or willing to obtain notary certification. If not already a notary, the company will sponsor the individual in becoming a notary.
Physical Requirements:
This is primarily a sedentary office position which requires the Administrative Assistant to have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary.
