Job Details

We are seeking an experienced and dynamic Administrative Assistant to join our team. This is a full-time contract to hire (12-24months) that offers a fast-paced, rewarding environment for an individual who is detail-oriented, possesses excellent organizational skills, and has a knack for managing multiple tasks simultaneously. The successful candidate will be responsible for handling a variety of administrative and clerical tasks that support our engineers, including filing, managing expenses, invoicing, and maintaining calendars. and more!

Responsibilities:

  1. Provide comprehensive administrative support to the Engineering team, including but not limited to managing calendars, scheduling meetings, and organizing travel arrangements.
  2. Handle all aspects of financial administration including invoicing, expenses, purchase orders, and billing.
  3. Manage the filing system, ensuring all documents are stored securely and can be accessed quickly.
  4. Oversee the ordering of office supplies and equipment, ensuring the Engineering team has everything they need to work effectively.
  5. Handle IT troubleshooting, providing first-line support to the Engineering team and liaising with IT support when necessary.
  6. Answer phones, directing calls to the appropriate individuals and taking messages when necessary.
  7. Manage vendor relationships, ensuring all services are delivered on time and within budget.
  8. Oversee tool calibration, service reports, and labor reports, ensuring all documentation is accurate and up to date.
  9. Assist with warehouse organization, ensuring inventory is properly tracked and managed.
  10. Perform other related duties as assigned.

Qualifications:

  1. A minimum of 5 years of experience in an administrative role, preferably within the Engineering industry.
  2. Exceptional organizational skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
  3. Excellent attention to detail, with a focus on ensuring all work is completed accurately and to a high standard.
  4. Proficiency in Microsoft Excel and other office management software.
  5. Experience in managing expenses, invoicing, and purchase orders.
  6. Strong communication skills, with the ability to liaise effectively with team members, vendors, and other stakeholders.
  7. Experience in IT troubleshooting, with the ability to provide first-line support to the Engineering team.
  8. Ability to work independently, taking initiative and problem-solving when necessary.
  9. Experience in managing vendor relationships, ensuring services are delivered on time and within budget.
  10. Knowledge of warehouse organization and inventory management would be an advantage.
