Reporting directly to a Sheriff’s Office Manager, Commander or Paralegal, responsible for providing advanced administrative support to an assigned division. Level II of II in Sheriff’s Office Administrative Specialists.Responsibilities:Provides direct customer service either in person or on the telephoneCreates and maintains various reports related to assigned divisionCreates and maintains forms, worksheets, and informational materialsEnsures comprehensive filing systems are maintained and up to dateAssists in planning and executing special projects and eventsAssists with policy and procedure updatesCopies, files, and audits invoicesMonitors purchasing card transactions and processes statementsEnters and verifies data within applicable databases and/or systemsAssists in various staffing processesReviews stock inventory and processes purchase requisitions for needed supplies and equipmentCross-trains with office staff in other areas to ensure continuity of departmental operationsAttends all meetings and trainings, as requiredPerforms special duties as assignedOpen Records Assignment:Assists in processing and responding to Open Records RequestsResearches, prepares, and disseminates information as per guidelines set under the Texas Public Information Act and other applicable policies and laws while maintaining a high level of security and confidentialityOrganization Relationships:Reports directly to – Sheriff’s Office Supervisor, Commander or ParalegalDirect Reports – NoPhysical Demands:Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carryingPosition may involve working day and/or overnight shiftsEnvironmental Factors:Work is primarily indoors in an air-conditioned environmentContact with persons accused or convicted of crimesContact with law enforcement officials and publicOpen Records Assignment: Exposure to graphic reports, video, and audio recordingsIrregular Hours:Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be requiredMay be deemed essential personnel in the event of an emergencyThe above statements are intended to describe the general nature and level of work being performed by individuals assigned to this job.
