POSITION SUMMARY

The Administrative Assistant manages a variety of administrative tasks for the assigned Leadership Team member(s), and/or designated manager(s), including the provision of technical and general secretarial support, as well as project management. This position also interacts with a variety of internal and external customers, representing Cumberland Heights and its leadership team in a professional manner that reflects the organization's mission.

PRIMARY DUTIES AND RESPONSIBILITIES will include, but are not limited to, the following:

1. Creates and maintains computer database for a variety of administrative tasks, schedules, and documents, providing technical assistance to leadership staff as needed.

2. Coordinates meeting schedules and appointments for a variety of events both within and outside of the organization, including travel arrangements as necessary.

3. Drafts and completes a variety of administrative correspondence, reports, applications, and proposals as assigned.

4. Collects, aggregates, and prepares a wide variety of data reports in various formats such that actionable information is presented to individuals and groups.

5. Attends and records the proceedings of a variety of meetings, including leadership team, Board of Directors, and other committee and/or management meetings as assigned.

6. Handles highly sensitive communications and support while maintaining confidentiality.

7. Participates in and assists with event management, including employee relations, fundraising/development, business development/referral relations and other as needed

8. Serves as liaison with external providers and vendors for events, equipment and supplies for assigned area and staff.

9. Participates in and assists with a variety of presentations regarding Cumberland Heights' services, as well as tours and donor site visits.

10. Arranges complex travel plans, compiles itineraries, and assists in expense reports

11. Anticipate and prepare for conference materials, appointments, meetings, telephone calls, etc.

12. Ensures that a welcoming, safe, and healing environment is maintained for each patient and family throughout the continuum of care.

13. Assists patients, families, and guests, including linking them with appropriate staff members and resources as needed.

14. Recommends ways to improve the quality and delivery of services.

15. Maintains confidentiality of company and patient information.

16. Ensures proper handling and distribution of company funds.

17. Reacts productively to change.

18. Performs other duties as assigned.

Requirements

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

Associate degree with a minimum of two (2) years administrative assistant experience OR five (5) years administrative experience; Bachelor's degree preferred; experience at the executive level of support preferred; supervisory experience is preferred; and/or equivalent education or experience in job related activities; experience in a healthcare setting, particularly behavioral healthcare and/or experience with addiction recovery a plus

OTHER SKILLS

Ability to lift up to 20 pounds; ability to speak, hear, see, stand, walk and sit; ability to speak, read and write in English; detail-oriented, adaptable, flexible and creative; excellent customer service skills; excellent problem-solving and interpersonal skills; excellent written and oral communication skills; superior organizational skills for managing and prioritizing multiple tasks and projects; superior ability to work independently and takes initiative; proficient in all Microsoft Office applications, including Outlook; ability to type 65 wpm; ability to use various types of office equipment and multi-line switchboard. If recovering, one year of recover required with five years preferred.

WORK ENVIRONMENT

Position is in an office setting on a multi-building campus that involves everyday risks or discomforts requiring normal safety precautions. Position may be subject to long hours, including evenings and weekend, to complete projects, meet deadlines and/or attend specially scheduled meetings. Local travel may be required. Evening and weekend work may be required.
