About the Company & Operations Coordinator Opportunity:

  • Our repeat client is a PE backed manufacturer in the Baltimore area. Due to growth, they are hiring an Operations Coordinator to join their growing team
  • This Operations Coordinator will work with a small and lean, tight knit team. This company is big on internal development and promoting from within and this role will have a clear growth track.
  • Schedule: M-F 9am-5:30pm, 80% on site in Halethorpe, MD. Opportunity for one day work from home per week.
  • Reports directly to the CFO
  • Salary $50,000 - $60,000 depending on experience

Job Duties of the Operations Coordinator:

  • Gather, prepare, and deliver timely all import documents including supplier invoice, packing list, ISF, SeaWay Bill/BOL to the appropriate import agent or authorities.
  • Populate container information in the Container Status Tracker and Inventory Planning sheets.
  • Monitor and update arrival dates as necessary. Inform management of any delivery date complications.
  • Obtain and store all shipping documents in the appropriate shared file folders.
  • Forward all invoices to AP and ensure prompt payment of all tariffs and fees required for cargo release.
  • Identify, arrange, and communicate all container drayage assignments/appointments.
  • Monitor all arriving containers to ensure timely (within free-days) pickup.
  • Analyze inventory planning weekly. Propose purchase quantities by product/supplier to management for approval.
  • Generate approved purchase orders and send to the appropriate suppliers.
  • Enter approved purchase orders into the Fishbowl software and store any open PO files in the supplier folder.
  • Review all receiving lists, compare against POs, and reconcile in ERP system.
  • Add purchase orders to supplier payment list for reconciled balances owed.
  • Obtain all packaging, palletization, and routing guides for large retail customers. Interpret and highlight key items to warehouse and customer service teams.
  • Work with the project/product team to create carton labels and images and send them to the appropriate supplier contacts. Proof boxes using supplier pictures/images to confirm accuracy.
  • Setup all collect freight accounts in ERP software and shipping applications to bill accurately and print required labels.
  • Identify, obtain, and setup deconsolidation and/or drayage partners for all containers into non-Baltimore ports. Facilitate any TL or LTL shipping from deconsolidation points.
  • Review and respond to any claims or deductions related to order fulfillment, accuracy, or timeliness.
  • Enter all direct import or drop ship purchase orders and sales orders in the system.
  • Communicate direct import orders to suppliers, including ship-by dates and customer PO mapping.
  • Facilitate and deliver any required documents for delivery to shipping points and customer import.
  • Confirm delivery of products to consolidation (OOCL) or customer shipping points.
  • Receive all direct import POs in the ERP system, completing customer invoicing.
  • Other duties and responsibilities as assigned.

Qualifications of the Operations Coordinator:

  • Bachelor's degree highly preferred
  • 2+ years related experience in finance, international/import logistics and/or operations highly preferred
  • Strong Excel skills, comfortable using V/XLOOKUPs, sum if, and formulas or ability to learn advanced function very quickly required
  • Excellent time-management, organizational, and problem solving skills
  • Must have strong attention to detail and be able to have a sense of ownership
  • Experience using Fishbowl software a plus
  • Ability to read Mandarin beneficial
  • MUST BE ABLE TO PASS A BACKGROUND CHECK
