Summary:
The Construction Administrator will provide critical administrative support to ensure the seamless execution of construction contract management. This role involves overseeing various office management functions such as security, facility maintenance, event coordination, and office supply management. In addition, the position requires collaborating with senior leadership and cross-functional teams. The ideal candidate will possess exceptional communication skills, technical proficiency, and a demonstrated ability to manage time-sensitive projects in a fast-paced, deadline-driven environment.
Key Responsibilities:
Construction Contract Administration:
- Draft and prepare construction-related contract documents, including Change Orders (COs), Proposal Requests (PRs), Architect’s Supplemental Instructions (ASIs), and Certificates of Substantial Completion, using AIA software.
- Manage and coordinate the shop drawing process by overseeing consultant and staff reviews, maintaining submittal logs, and expediting documentation using ProjectSight CA software.
- Facilitate seamless document management by uploading and downloading project data to various FTP sites and construction software applications.
- Maintain comprehensive construction project logs, tracking key documents such as submittals, Requests for Information (RFIs), ASIs, and project sketches.
- Serve as a liaison between multiple departments, including Specifications, Interiors, and Construction Administration, to ensure timely responses to Submittals and RFIs.
- Conduct thorough research and assist construction contract administrators by retrieving and organizing essential project documents.
- Conduct site visits as needed to support the construction administration process and gather key project data.
- Contribute to the continuous improvement of Construction Administration (CA) guidelines, workflows, and documentation forms.
General Administrative Support:
- Provide office management support, including coordinating office security, maintenance, and special event logistics.
- Collaborate with the Corporate Services Group to provide additional administrative assistance and ensure team priorities are aligned.
- Manage special projects and ad-hoc assignments as required by the manager, contributing to the firm’s operational efficiency.
Job Requirements:
- 5+ years of experience in Construction Administration or a related field with proven proficiency in managing contract documents and supporting senior-level executives.
- Strong organizational skills with an ability to handle multiple tasks and deadlines.
- Proficiency in AIA software, ProjectSight CA, and other relevant construction management software.
- Excellent communication and interpersonal skills for effective collaboration with internal teams and external stakeholders.
