We are looking for a dedicated Executive Assistant to join our client's dynamic, nonprofit organization and contribute to effective administrative processes!
The Executive Assistant will play a crucial role in supporting the Executive Director, organization staff, and the Board of Trustees. As a vital member of the administrative team, you will contribute to effective processes and play a key role in decision-making and progress. We seek candidates with professional experience in executive support, capable of collaborating with all levels of staff, Board of Trustees members, donors, partners, vendors, and stakeholders.
Primary Responsibilities:
Calendars:
Manage the Executive Director's calendar, schedule meetings, and coordinate dates with others.
Contracts:
Facilitate the ED's review and approval of contracts, including grants, vendor agreements, and memoranda of understanding.
Policies & Procedures:
Update and maintain organization policies and procedures.
General Support:
Assist the ED with administrative tasks related to projects, communication, research, and coordination with staff and the Board.
Email/Electronic Communications:
Organize and manage ED's electronic communications.
Filing System:
Administer organization filing systems, eliminate duplication, manage private ED files, and upload older documents.
Meetings:
Support monthly face-to-face Staff Meetings by developing agendas and communications.
Board of Trustees:
Maintain a master annual calendar, distribute quarterly Board packets, document Board actions, and manage Committee meetings.
Organizational Systems Management:
Recommend improvements to internal systems, communication, and processes for staff and Board clarity and efficiency.
Requirements
Demonstrated executive support experience, including administrative management, software proficiency, and maintaining organizational files.Tech-savvy with problem-solving skills for technology-related needs.Commitment to diversity, equity, inclusion, and fostering belonging.Strong organizational abilities and attention to detail.Bonus points for experience in contracts, project management, HR, event facilitation, non-profit work, or environmental conservation.

Compensation:
$55,000-$65,000 per year
