Position Overview:We are looking for an experienced

Executive Administrative Assistant

with hands-on administrative expertise in the government sector. This role requires a detail-oriented professional adept at multitasking and managing complex responsibilities in a dynamic environment.

Key Responsibilities:Schedule and manage appointments, meetings, conferences, and teleconferences, including maintaining office events and leave calendars.Process and set up accounts payable invoices within the Department of Labor's (DOL) New Core Financial Management System (NCFMS) following federal guidelines.Update OSHA Directives, maintain Records Management information in ARCIS, and track training registrations in DOL's Learning Link.Handle and process controlled Agency correspondence through DOL's Correspondence Tracking System (CTS), ensuring readability and quality.Manage incoming and outgoing calls, providing information to callers, and direct calls as needed using Cisco CP-8811 multi-line phone systems.Enter and maintain data in OSHA Program Office databases, organize electronic and paper files, and maintain office documents and correspondence.Attend meetings, providing verbal and written summaries, and prepare conference/event materials.Operate and maintain office equipment, handle preventive maintenance, and manage office supplies per federal guidelines.Format, proofread, edit, and transmit documents and graphics as needed.Make travel arrangements and manage travel vouchers via the E2 Travel system, ensuring compliance with federal travel regulations.Requirements:

U.S. Citizenship

is required.Bachelor's degree with 2 years of relevant experience or equivalent experience.5+ years of experience in administrative support, preferably in the government sector.Ability to work under pressure, meet critical deadlines, and deliver high-quality, detail-oriented work.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with experience in creating presentations.
