Job Title: Document Specialist (Entry-Level) Internship and Consultant Opportunities: This position is offered in partnership with South Central College as part of a grant program. Interns are encouraged to apply for hands-on experience. Consultants and fractional workers can expect project-based work lasting through the year. Position Overview: The Document Specialist is an entry-level position responsible for assisting in managing and maintaining the company's documentation systems. This role will provide hands-on experience in document control and management, making it ideal for interns or individuals seeking to build a career in this field. The position is offered in partnership with South Central College as part of a grant initiative, and it involves fractional work expected to last through the year. Consultants and part-time workers are encouraged to apply, as the role offers flexible, project-based work. Responsibilities: Document Control: Assist in organizing and maintaining all company documents, including the creation, updating, and filing of digital and physical records. Ensure proper classification and tracking of documents for easy access and retrieval. Support the implementation of document control procedures to maintain compliance with company standards. Document Review and Approval: Assist with the review and approval process of documents, ensuring timely updates and revisions. Collaborate with team members and department heads to ensure documentation is accurate and up-to-date. Data Entry and Maintenance: Enter and update document-related data into the document management system (DMS) with accuracy. Help maintain data integrity by regularly checking records for accuracy and completeness. Digital Document Management: Help manage the company's digital document system by scanning, indexing, and archiving files as needed. Ensure secure storage of documents and assist with document retrieval requests from other departments. Compliance and Auditing: Assist in ensuring all documents comply with company policies and regulatory requirements. Support internal audits by preparing and organizing the required documentation. Collaboration and Support: Work closely with various departments to assist in document management tasks and ensure timely project completion. Act as a point of contact for document-related inquiries from team members. Record Retention and Destruction: Help maintain document retention schedules, ensuring proper archiving or destruction of outdated records. Ensure all records are managed according to company policies and legal guidelines. Continuous Improvement: Identify opportunities for improving document management processes and suggest new practices where appropriate. Participate in training programs to further develop skills in document control and management. Qualifications: Education: High school diploma or equivalent required. Enrollment or completion of an associate or bachelor's degree in a related field is a plus. Experience: Entry-level position; interns are encouraged to apply. Previous experience in an office or administrative role is beneficial but not required. Skills: Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Strong organizational and attention-to-detail skills. Excellent written and verbal communication. Ability to manage multiple tasks with deadlines. Familiarity with document management systems (DMS) is a plus but not required. Willingness to learn and work collaboratively in a team environment. Physical Requirements: Ability to sit, stand, walk, kneel, stoop, and lift up to 20 lbs as required by the role.
