Role Overview
Reporting to the VP, B2B Marketing, the Events Manager is responsible for planning and organizing B2B events and/or tradeshows for the organization. They will also be responsible for all operational, implementation and post-event activities. The ideal candidate will have exceptional project management, communication, and leadership skills.
ESSENTIAL FUNCTIONS (Responsibilities)
Infuse the Patch Values into your work ethic, every day and every interaction.Plan and execute B2B event marketing plans which includes national, regional/territory events and tradeshows, sponsorships, and speaking engagements.Manage the lead and opportunity process with the Sales and BDR teams to ensure all opportunities are captured and reported on for all events.Ensure there is a positive ROI for each event - defined as the equivalent number of new leads generated, that culminate in new sales.Identify and cultivate new lead opportunity streams for all major events.Pre-event and onsite communication with delegatesRelationship-building with key stakeholdersAir and ground travel arrangementsEstablish staff schedules, task assignments equipment allocation to ensure conformance with department objectives and goalsRepresent and deliver service excellence that is in keeping with the organizations brandDetermine fiscal requirements and prepare budgetary recommendationsNegotiate agreements with outside providers and subcontractors to ensure lowest cost and highest quality of serviceWork closely with internal and external event planning committees and client groups to define event goals, objectives and specific implementation plans that promote the organizations brandEstablish communication protocols and operating procedures with planning committees, subcontractors and program staffSource venues, logistics providers (shipping, catering, telephony), acquire supporting technology and coordinate development of materials to execute a quality eventMaintain a calendar of events and implement a system that enables and anticipates long-term planning and effective event management for the organizations meetings, conferences and eventsWork closely with marketing managers, committees and marketing communications staff to effectively support the promotion of events to target audiences and obtain accurate event specificationsConduct research and develop feasibility studies to identify new events opportunities for the organizationOversee and facilitate event registration processesOversee procurement purchasing and client service needs with regard to catering, meal events, audiovisual, security and rental needs for eventsWork with marketing staff to develop brand, marketing labels and tools for events as requiredPrepare event programs and confirm all necessary preparations are in orderIdentify all aspects of event risk assessment and crisis management planning strategies. This includes, but is not limited to, security for the event if necessarySupervise, direct and coordinate the activities of personnel, subcontractors and vendors as required to successfully execute all aspects of the eventEnsure speakers are briefed and prepared to provide effective presentations and materialsTrouble-shoot and smooth issues relating to the successful execution of the event programWork with communications staff to ensure that council events receive optimal media coverageDevelop and execute all necessary follow-up with sub-contractors, sponsors and client groupsProvide post-event analysis, budget recaps and participant feedback and incorporate learning into future plansDevelop event reports and distribute as required to sponsors, participants, stakeholders and others.POSITION REQUIREMENTS (Qualifications)
University degree or college diploma in business, marketing, or related field5-7 years of experience in Event Management or related field is requiredProven negotiating skills with hotels, entertainers and other event vendorsAbility to develop professional relationships in all aspects of the position that result in stable, consistent, reliable, and courteous communication when dealing with other organizationsAbility to problem solve and work independently in a changing and multi-tasking environment with numerous deadlinesExcellent organizational, planning and project management skillProven ability to take direction and input and to develop effective and engaging branded events that will achieve the organizations goalsAbility to influence and coordinate the efforts of other team members in support of eventsDemonstrated ability to prepare accurate budgets and effectively manage expensesAbility to present and pitch ideas effectively to council management teamHigh level of verbal and written communications skillsDemonstrated ability for accuracy and thoroughnessExceptional written and verbal communication skillsSolid business acumen, management, and problem-solving skillsStrong computer skills, especially Microsoft Office (Word, Excel, PowerPoint) event management technologies, and customer relationship management software (Salesforce), and work ticket management (Jira)Effective time management, organizational, and leadership skillsMust be legally allowed to work in the U.S.You will be asked to participate in culture related meetings, activities, and events.
