DSHS Forms & Records Analyst 3Western State Hospital (WSH)
has an opportunity for a Forms and Records Analyst 3 in the Policy Office located in Lakewood, WA. This position is a direct report to the WSH's Public Disclosure Supervisor. You will be responsible for processing, gathering information for, and responding to Public Records Requests with direction from the Public Records Supervisor.Pierce County employees are eligible to receive an Orca Card for transportation needs.Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.Some of what you'll be doing:
Document requests into Agency Records Request Tracking System (ARRTS) and/or regional tracking system for tasks to be performed.Review requests and determine the scope of the request and the potential holders of the information and record set.Clarify with requester, verbally or written, if it is unclear on the date range.Send written acknowledgement of receipt to the requester within the established timelines with an estimated time when the records will be provided.Search and collect all records to ensure all requested information and records have been collected to be able to determine if they can be released, redacted, or withheld.Limit the agency's risk for fines by clarifying and documenting all communication with the requester.Reviews and redacts all necessary information/records before releasing to requesters.What we're looking for:
Knowledge of basic administrative procedures; office practices; correspondence preparation; state and department policies; management of procedures and practices.Ability to work independently, under little supervision and demonstrate appropriate initiative.Ability to work in a fast paced and changing environment.High level of organizational skills.Ability to maintain a high level of confidentiality.Ability to adapt and manage emergent situations.Ability to prioritize workload and multi-task.Proficiency in or knowledge of using a variety of computer software applications.Who should apply?
Professionals who have two years experience as Forms and Records Analyst 2ORBachelor's Degree in business administration, accounting, social services, paralegal, or a related field AND two years of experience in forms and/or records management, public disclosure, clerical duties associated with records management or customer serviceORExperience in forms and records management or public disclosure may be substituted year for year for the required educationORHigh school diploma or equivalent and six years of experience in forms and/or records management, clerical duties associated with records management, public disclosure, paralegal or customer service.Interested?
