Administrative Assistant

position.This position exists to do the administrative work for the Montessori programs, Early Childhood Programs and Education Department (Initial Licensure).

Responsibilities Include:

Create marketing flyers for workshops and new program development. Create email campaigns with Constant Contact and Facebook. Market information sessions for Montessori using Facebook and Constant Contact. Use analytics to determine effectiveness of marketing campaigns.Establish and maintain an electronic filing system. Streamline process and scan files for future use to cut down on the use of paper and storage space. Direct student worker.Update and maintain data and project management system including student tracking for MAED, ECE Montessori, and ECE Licensure, as well as Elementary Licensure students; and PELSB (state education licensing-standards, syllabi, and reporting); and Montessori Center of MN (MCM) graduate program, using SmartSheets and Taskstream. Create a data base of Grad/Alumni information for future marketing and record keeping.Responding to daily written, fax, telephone and email messages for information. Scheduling meetings, website updates, social media posts for entire education department.Communicating with prospective students and clients within 24 hours by phone and email.Regular word processing for meeting minutes, etc. Use Google docs and Forms for gathering data and collaborative work. Efficient and effective use of Excel, Publisher, Adobe Pro and Word.Canvas Shell creation and updates. Canvas access and ability to update content for MAED, ECE, and MCM courses if needed by instructors.Maintain department project calendar for task management (GQueues).Coordinating travel and conference arrangements, event planning for workshops, events, annual community event.Budget and accounting (reconcile Pcard, maintain direct expenditure budget, invoicing, marketplace accounts).

Minimum Qualifications:

A high school diploma (or GED) with office administration experience and general business skills.Excellent telephone skills.Ability to use all Microsoft Office components.General Computer skills on a Mac. and a PCFiling capability and general secretarial skills.Preferred Qualifications:

Associate Degree or higher from an accredited institution.Montessori experience.Experience in teacher education.Experience in higher education.Background in educational technology.
