Description:

Managing our organization’s donor database, including entry of all gifts, the generation of acknowledgment letters and reconciliation of Development and Finance records to ensure accuracy. Plays a lead role in overseeing our direct mail campaign for individual donors as well as a support role in the research, cultivation, and stewardship of leadership and major gift donors. Supports special events; including but not limited to, registration support, online giving, auction support, and providing assistance to event table captains.

Responsibilities:

Ensures accurate entry and gift coding for all donations (checks, credit cards, stock gifts; workplace giving) for individual and corporate giving, including sponsorships and grants.

Generates and proofreads thank you letters and tax receipts for all gifts within 2 business days, consistent with BGCH gift processing and procedures document.

Generates initial invoice request to Finance department for all pledged sponsorships for special events within 3 business days.

Conducts monthly reconciliation of development and finance records to ensure alignment and consistent gift coding and provide monthly report to VP of Development.

Runs monthly Development Revenue vs Goal Dashboard for budget revenue line items.

Provides ongoing database management and performs annual database reconciliation.

Runs standard and custom reports.

Produces labels, mail merges, and pledge reminders.

Provides database training for BGCH staff.

Plays lead role in achieving annual direct mail financial goals through the November and March direct mail campaigns, including crafting the letters and segmenting donor lists.

Determines direct mail segmentation strategy and criteria (i.e. gift size, giving history, interest area, etc.) and ensures all salutations, ask amounts, and other custom information within our correspondence is accurate.

Coordinates all mail processing with BGCH’s direct mail vendor.

Conducts donor and grant research and creates donor profile reports for Boys & Girls Clubs National Leadership Giving Society prospects ($10,000+) and leadership giving ($1,000 - $9,999) prospects.

Provides input on donor strategy and prospect cultivation.

Runs Weekly Moves Management report for stewardship outreach (i.e. thank you calls, thank you notes, personal visits, etc.).

Assists VP of Development in creating and maintaining standard stewardship calendars for leadership society and major gift donors.

Assists Vice President of Development and Special Event Coordinator in planning and executing annual donor cultivation event, including input on invitation lists, overseeing registration, and ensuring attendance is tracked in Donor Perfect.

Plays lead role in providing support to event table captains.

Assists Special Event Consultant with event registration and attendees.

Supports Special Event Consultant with managing at-event mobile giving and/or text-to-give programs.

Generates event-specific thank you letters for all special events and donor engagement events.

Work Environment:

Office, cultivation events, fundraising/special events, representation of BGCH at community events, etc. which may involve a change in schedule and weekend hours.

Requirements:

High school diploma or GED.

At least 3 years of experience in donor database management and resource development.

Computer proficiency including Microsoft Office products.

Proven track record of setting priorities and meeting deadlines.

Self-starter, able to work both independently and collaboratively.

Strong project and time management skills.

Excellent research skills.

Strong attention to detail.

Experience in a nonprofit or advocacy organization preferred.

Cultural competency; proven ability to communicate with diverse audiences.

Flexibility, patience, and willingness to learn new skills.

Knowledge and experience in Finance and Accounting a plus.
