Job Summary:
This is an exciting role an innovative, high-growth defense technology company . this position you will and act as an office area coordinator for our DC and Oklahoma facilities and provide general office support and coordinating activities, projects and daily tasks to ensure workplace productivity. The ideal candidate for the position is someone who is a self-starter and has an exceptional organizational drive and a high proficiency in MS Office applications. In this role, you will work closely with a talented Facilities & Infrastructure, Government Affairs, People, and Marketing & Communications team, reporting to Director of Facilities and part of Facilities & Infrastructure team.
Responsibilities:Design, set up and maintain office areas and common spaces.Collaborate with Government Affairs (GA) team, facilities dept, IT, and HR on office seating plans, moves, and changes.Small-scale IT support for Zoom rooms, network troubleshooting, and other IT infrastructure.Assist visitors by greeting, welcoming, and directing them appropriately.Support onboarding of new employees with documentation, badges, parking passes, and amenities access.Assist with HR and other various administrative tasks such as drafting, preparation, and distribution of correspondence, calendaring, meeting scheduling and coordination, employee experience eventsCoordinate and manage maintenance on office area equipment including copy machines, coffee & food services, furniture, etc.Follow up with vendors to ensure issues are rectified, and contract compliance and service levels are achieved.Support unclassified and classified meetings, events, and otherwise for a variety of customers including but not limited to setup, IT troubleshooting, and catering.Liaise with property management to ensure continued maintenance of office spaces and deliveries.Proactive support for GA and the Marketing/Comms team to prioritize their administrative responsibilities and day-to-day goals.Basic Qualifications:
3+ years of relevant experience in an administrative, facility, or property administration roleBachelor's degree preferred.Ability to lift 15 pounds.Previous experience working with an EA or in similar government environmentsStrong computer skills and ability to operate general office equipment.Excellent attention to detail and multi-tasking abilitiesStrong interpersonal skills and ability to work with cross-functional teams, customers, and external vendors.Preferred Skills and Experience:
Superior customer service skills and orientationAbility to always maintain professionalism in challenging environments.Ability to multitask and work without direct supervision.Prioritize and optimize daily tasks and projects.Proficient in MS Office, and possess strong written, verbal and people skills.Additional Requirements:
Availability to travel to LA or OK about 20% of the time.
