Description

Summary:

Generate and handle all group bookings for the Hotel and Catering events for the property.

Essential Functions and Responsibilities:Create group booking lead sheet for groups of 15 or more rooms.Prepare group booking folders; file brief, creating and input of group in LMS, create booking codes for all groups booked at the AVI Resort and Casino.Generate and maintain group contracts, group room block, and flow of calls to group reservations, maintain all daily administrative reports.Assist in group pick-up (GRC), group resume, and weekly group arrival reports for marketing and hotel meetings.Manage/Assist with Sales Department travel for trade shows.Work as a liaison with other departments (Front Desk, Reservations, and Special Events) to ensure proper flow of paperwork, rooming lists, individual call-in reservations, etc.Liaison between guest and service provider for events. Main contact between customer and the Avi; ensure guest's needs are met. Interface well with guests; ensure smooth operation of events.Liaison between chef and beverage manager for events.Liaison with vendors for banquet needs. Ensure proper equipment and linen for events.Provide outstanding customer service in a timely manner to both guests and fellow team members.Performs other duties as assigned.Position Requirements

Qualifications

High School diploma or equivalent.Three (3) years of experience in Group/Property Sales or equivalent field in gaming industry.Must have two years of Catering/Banquet experience.Must have working knowledge of computerized booking systems.Excellent communication, written, and interpersonal skills and customer service skills.Bilingual preferred but not required.Knowledge of Microsoft Office Suite (all software components), payroll, and hotel information systems (LMS).Previous supervisory experience.Tray service/handling experience preferred.Understanding of basic accounting procedures and reports.Budgetary skills preferred.Knowledge of how to run the InfoGenesis machines and printers.Strong interpersonal and communication skills.The primary language spoken is English; ability to read, write, understand and speak English.Strong negotiation skills.Must be at least 21 years of age.Obtain and maintain all work cards as required by the company.Verify right to work in the United States.Work Cards

Frequently required to walk and stand for long periods.Use hands to hold tools utilized for position.Reach with hands and arms.Occasionally required to climb or balance and stoop, kneel, crouch, or crawl.Frequently lift and/or move up to 40 pounds.

Work Environment Conditions

The work environment is characterized as an office setting, where computers and standard office equipment will be supplied and used as part of the job. The noise level in the work environment is usually moderate. The immediate work environment is smoke free; however a smoking environment does exist in the building. Work environments change with the development of any and all special events.
