We are seeking a highly organized and proactive Executive Assistant to support the Co-Founder of our rapidly growing social commerce software company. The ideal candidate will be an exceptional multitasker with strong communication skills and the ability to thrive in a fast-paced environment.Key Responsibilities
Administrative SupportManage the Executive's calendar, including scheduling meetings, appointments, and travel arrangementsHandle incoming requests, emails, and correspondence, prioritizing and responding as appropriatePrepare and edit documents, presentations, and reportsOrganize and maintain admin systemsOffice ManagementCoordinate office operations and procedures to ensure efficiencyManage office supplies and equipmentAssist with onboarding new employees and maintaining employee recordsPlan and organize company events and team-building activitiesProject CoordinationAssist in the preparation and follow-up of executive and board meetingsTrack and manage action items from meetings and projectsConduct research and prepare briefing materials for the ExecutiveTravel ManagementArrange complex domestic and international travel itinerariesPrepare expense reports and process reimbursementsLiaisonAct as a liaison between the Executive and internal departments, external partners, and clientsRepresent the Executive in meetings when appropriateQualifications
Bachelor's degree in Business Administration or related field3+ years of experience as an Executive Assistant, preferably in a fast-paced startup environmentExceptional organizational and time management skillsStrong verbal and written communication abilitiesProficiency in Google WorkspaceExperience with project management tools (e.g., Asana, Trello, or Jira)Ability to maintain confidentiality and exercise discretionDesired Skills
Knowledge of the software industry and e-commerce landscapeExperience in a high-growth technology startupFamiliarity with basic financial and accounting principlesAbility to learn and adapt to new technologies quicklyPersonal Qualities
