Executive Assistant, Chief Development OfficerPosition Highlights:Position: Executive Assistant, Chief Development OfficerLocation: Evanston, ILFull Time/Part Time: Full TimeHours: Monday-Friday, hours will be dictated by the needs of business for projects and meetingsRequired Travel: Based on department needWhat you will do:Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive. The Executive Assistant also serves as a liaison to the Leadership Team; supports executive outreach, scheduling, and administrative functions; and coordinates special projectsProvide sophisticated calendar management for the Executive. Prioritize Executive team needs, inquiries, and requests while troubleshooting scheduling conflicts; make judgments and recommendations to ensure smooth day-to-day engagementsComplete a broad variety of administrative tasks for the Executive, including but not limited to collecting and preparing information for meetings; composing and preparing correspondence; making meeting/travel arrangements; supporting the design and production of documents, reports, and presentations; and completing expense reports/check requisitionsResearch, prioritize, and follow up on incoming issues and concerns, including those of a sensitive and/or confidential nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect Executive's style and organizational practiceBuild relationships crucial to the success of the organization and support Executive's cultivation of relationships. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive including those of confidential or critical nature. Provide a bridge for smooth communication between the Executive and internal departments; demonstrate leadership, competence, and integrity to cultivate credibility, trust, and supportWork closely and effectively with the Executive to keep him/ her well-informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place and keeping the Executive updated. Anticipate Executive's needs in advance of meetings, conferences, etc.Conserve the Executive's time by reading, researching, collecting and analyzing information as needed in advanceCoordinate strategic initiatives and projects, as directed by the Executive, in support of Endeavor Health's mission. Support projects expeditiously, proactively, and with intentionality. Follow through to successful completion, often with deadline pressuresSuccessfully complete critical aspects of deliverables with a hands-on approach, including drafting correspondence and other aspects that facilitate the Executive's ability to effectively lead. Edit and complete first drafts for written communications to internal and external stakeholdersCreate PowerPoint presentations in support of Executive communication,Schedule and support all Executive Team meetings including regional and system leadership team meetings; assist in coordinating the agenda for team meetings; attend meetings as requested and provide summary of actions and follow itemsCoordinate Board of Directors and Board Committee meetings ensuring effective organization of meeting agendas, board packets and meeting logistics; manage requests and concerns of board membersEffectively manage patient complaints that are escalated to office of the Executive; summarize issues and proactively assign follow-up to appropriate leadership; ensure loop is closed on patient complaintsComplete adhoc projects as assignedWhat you will need:Education: Associate's Degree or Administrative Support Certification required, Bachelor's Degree highly preferred.Certification: cHAP (Certified Healthcare Administrative Professional), CAP (Certified Administrative Professional) or MCAS (Microsoft Certified Application Specialist) preferred.Experience: 5+ years of related experience required in working in an executive assistant role supporting C-level ExecutivesUnique or Preferred Skills
